Job Title: Procurement & Project Coordinator

Location:  Goregaon, Mumbai (Onsite)

Experience: 1+ Years

Job Type: Full-Time

Notice Period: Immediate to 15 days

Job Description:

We are looking for a Procurement & Project Coordinator who will ensure smooth procurement operations, effective vendor coordination, and structured documentation across multiple ongoing projects.

This role requires strong follow-ups, attention to detail, and the ability to manage multiple stakeholders simultaneously.

Key Responsibilities:

Procurement & Vendor Management

● Source, evaluate, and negotiate with vendors for materials, equipment, and services

● Prepare and issue Purchase Orders (POs) with technical and commercial clarity

● Maintain vendor database, rate contracts, and comparative statements

● Track deliveries and proactively escalate delays

Project Coordination

● Act as a single point of contact between vendors, logistics partners, and site teams

● Coordinate dispatch schedules, material readiness, and site requirements

● Ensure timely availability of materials and project updates

● Support site teams with drawings, BOQs, and technical inputs

Documentation & Compliance

● Maintain procurement logs, GRNs, and project-wise material trackers

● Ensure all purchases follow internal SOPs, budgets, and approval processes

● Maintain documentation: invoices, challans, warranty cards, compliance certificates

● Prepare reports: cost summaries, vendor performance, and project status

Financial & Administrative Coordination

● Verify vendor invoices against POs and delivery records

● Coordinate with accounts for timely payments

● Track advances, credit terms, and payment cycles

Cross-Functional Support

● Work closely with operations, logistics, accounts, and project teams

● Assist in vendor onboarding and compliance documentation

● Support preparation of BOQs, material submittals, and technical documents

Required Skills & Competencies:

● Strong negotiation and vendor management skills

● Excellent coordination and follow-up ability

● Good understanding of procurement processes

● Basic knowledge of technical specifications/BOQs (training provided)

● Proficiency in MS Excel / Google Sheets

● Strong communication skills (clear and professional)

● Ability to multitask and manage deadlines effectively
