Job Description

Position: Payroll Specialist

Location: Noida

Role Purpose

The Payroll Operations role is responsible for accurate and timely processing of payroll, statutory compliance, and payroll-related reporting across multiple locations and employee categories. The role ensures error-free payroll execution, compliance with labor laws, and smooth coordination with internal and external stakeholders.

Key Responsibilities

1. Payroll Processing & Execution

  • End-to-end processing of monthly payroll for employees across locations, grades, and business units.
  • Ensure accurate calculation of:

Earnings, deductions, incentives, overtime

Arrears, variable pay, recoveries

  • Validate payroll inputs including attendance, leave, LOP, reimbursements, and exits.

2. Statutory Compliance

  • Ensure compliance with all applicable statutory requirements, including:

PF, ESI

Professional Tax

Income Tax (TDS)

Labour Welfare Fund (LWF)

  • Timely deposit of statutory dues and filing of returns.
  • Coordinate inspections, audits, and statutory queries.

3. Payroll Governance & Controls

  • Implement strong checks and controls to ensure payroll accuracy and confidentiality.
  • Handle payroll audits (internal, statutory, and external).
  • Ensure compliance with internal policies and Delegation of Authority (DOA).

4. Payroll MIS & Reporting

  • Prepare and publish payroll MIS, including:

Payroll cost reports

Headcount & CTC analysis

Statutory compliance dashboards

  • Support Finance and leadership with payroll-related data and analysis.

5. Employee Query Resolution

  • Address employee queries related to:

Salary structure

Payslips

Tax deductions

PF / ESI / statutory matters

  • Ensure timely and professional resolution through defined SLAs.

6. Coordination & Stakeholder Management

  • Coordinate with:

HR Business Partners

Finance & Accounts teams

IT / HRMS teams

External payroll vendors (if applicable)

  • Support payroll inputs for:

New joiners

Exits and full & final settlements

Promotions, transfers, and salary revisions.

7. Systems & Process Improvement

  • Manage payroll through HRMS / Payroll systems (e.g., Darwinbox, SAP, Oracle, ADP).
  • Drive payroll process automation and continuous improvement.
  • Ensure data accuracy and system hygiene.

8. Compliance with New Labour Codes (Preferred)

  • Support implementation and readiness for:

Code on Wages

Social Security Code

  • Align payroll structures and processes accordingly.

Qualification & Experience

Qualification:

  • Graduate / Postgraduate (Commerce / HR / Finance preferred)
  • MBA (HR) / CA-Inter / ICWA-Inter (preferred)

Experience:

  • 5 to 10 years of experience in payroll operations
  • Experience handling large employee base / multi-location payroll preferred
