Job Title: Procurement Executive / Manager Third-Party Manufacturing (Pharmaceutical Formulations)
Department: Procurement / Supply Chain
Reports To: Head Procurement / Director Operations
Role Purpose
To identify, evaluate, negotiate, and manage third-party manufacturers for pharmaceutical formulations while ensuring competitive pricing, regulatory compliance, and timely delivery of finished products.
Detailed Responsibilities
A. Third-Party Manufacturer Development
- Identify new manufacturers for Tablets, Capsules, Powders, Syrups, Ointments, Injectables, etc.
- Assess and qualify vendors based on capacity, regulatory approvals, and quality standards.
- Build strong relationships to ensure long-term partnerships.
B. Quotation & Cost Management
- Float RFQs and maintain comparative statements.
- Analyze costing elements (API, excipients, packaging, conversion cost).
- Maintain price masters for all products.
C. Negotiation
- Negotiate pricing, payment terms, delivery schedules, and contracts.
- Ensure competitive rates without compromising on quality.
D. Artwork & Packaging Coordination
- Coordinate with internal teams for artwork creation and changes.
- Ensure final artworks meet regulatory requirements for domestic/export markets.
- Approve PM (packaging material) specifications and proofs.
E. Regulatory & Document Verification
- Verify COA, COPP, stability studies, CTD/ACTD dossiers, GMP Certificates, and product permissions.
- Ensure all documents are updated and filed for audits & submissions.
F. Vendor Management
- Create and maintain a robust vendor database.
- Conduct periodic vendor performance reviews (QCD Quality, Cost & Delivery).
- Resolve vendor disputes and communication gaps.
G. Production, Dispatch & Delivery Monitoring
- Track order status, production stages, quality clearance, and dispatch timelines.
- Coordinate with logistics and QA teams for documentation and shipping.
- Report delays proactively and implement corrective actions.
H. Internal Coordination
- Work closely with QA, RA, Production, Finance, and Marketing/Export teams.
- Support new product development activities with sourcing inputs.
Required Qualifications & Skills
- B.Pharm / M.Pharm / B.Sc. / M.Sc.
- 27 years experience in Third-Party Manufacturing / Procurement (Pharma).
- Strong understanding of formulation manufacturing processes.
- Excellent negotiation & communication skills.
- Knowledge of artwork, packaging, and regulatory documentation.
- Proficiency in Excel & ERP/SAP systems.
