Job Description

ExecutiveTo manage administrative services, facilities, for Rabale Site, ensuring operational efficiency and aligning with Piramal Pharma's values of Knowledge, Action, Care, and Impact.

The incumbent will report to Manager - Administration & Facilities

Qualification

Bachelor's degree in Business Administration or a related field.

Experience

5+ years of experience in administration, facilities, and travel management, preferably in a corporate setup.

Strong knowledge of facility maintenance, housekeeping, and travel coordination.

Skills And Competencies

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in vendor management and negotiation.
  • Familiarity with travel management systems and hotel booking platforms.
  • Problem-solving mindset with attention to detail.
  • Ability to manage multiple tasks and work under pressure.

Responsibilities

Key Roles/Responsibilities:

Office Administration

  • Oversee daily administrative operations, ensuring smooth functioning of office infrastructure, equipment, and facilities.
  • Manage housekeeping, pantry, and front office staff to maintain high standards of cleanliness and professionalism.
  • Coordinate with vendors for office supplies, equipment maintenance, and services, ensuring cost-effectiveness and quality.
  • Plan and execute office space management, seating arrangements, and layout adjustments.

Facility Management

  • Monitor and manage the upkeep of office premises, ensuring safety, hygiene, and compliance with statutory norms.

Travel and Hotel Management

  • Liaise with travel agencies and service providers to ensure cost-effective and efficient travel solutions.
  • Oversee hotel bookings for employees, guests, and external stakeholders, ensuring comfort and adherence to company policies.

Compliance and Documentation

  • Ensure compliance with all statutory requirements related to facilities, travel, and administration.
  • Maintain proper documentation for vendor contracts, service agreements, and travel records.
  • Conduct regular audits of administrative processes and records.
