Roles and Responsibilities
- Manage executive calendars by scheduling and coordinating meetings, ensuring optimal time management and prioritization of commitments.
- Organize domestic and international travel arrangements, including itineraries, accommodations, and transportation logistics.
- Prepare and distribute meeting agendas, materials, and minutes while following up on action items to ensure accountability.
- Maintain comprehensive expense reports and assist in budget tracking for executive expenditures.
- Serve as a liaison between executives and internal/external stakeholders, facilitating effective communication and relationship management.
- Support the onboarding process for new team members by coordinating training sessions and resource allocation.
- Implement administrative best practices to enhance operational efficiency and streamline processes.
- Assist in the preparation of presentations and reports, ensuring accuracy and adherence to company standards.
- Foster a positive work environment by promoting collaboration and teamwork among departments.
- Stay abreast of industry trends and best practices to continuously improve administrative functions.
Required Skills
- Minimum of 6 to 8 years of experience in an executive assistant or administrative support role within a corporate setting.
- Proficient in calendar management tools, travel booking platforms, and expense management software.
- Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong written and verbal communication skills, with an emphasis on professionalism and clarity.
- Demonstrated ability to manage confidential information with discretion and integrity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Ability to adapt quickly to changing priorities and demonstrate flexibility in response to organizational needs.
