About The Role:

We are seeking a proactive and well-organized Executive Assistant & Office Coordinator to support daily office operations and assist leadership with administrative and communication-related tasks. The ideal candidate should have strong communication skills, proficiency in Microsoft Office, and the ability to coordinate effectively across internal teams, external stakeholders, and vendors.

Key Responsibilities

Executive Assistance

  • Assist senior management with day-to-day administrative tasks.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare reports, presentations, and documents using Microsoft Office.
  • Handle incoming and outgoing calls, including responding to general and external enquiries, and making follow-up calls to prospective clients as required.

Office Coordination

  • Coordinate with internal teams and external stakeholders to facilitate smooth operations.
  • Manage office logistics and overall day-to-day functioning.
  • Handle vendor coordination for office supplies, maintenance, and services.
  • Arrange and maintain stationery, office materials, and inventory.
  • Oversee pantry management, including water, milk, beverages, and daily consumables.
  • Ensure the office environment is clean, organized, and fully functional.

Logistics & Support

  • Manage courier dispatches to clients, vendors, and partners as required.
  • Assist in organizing office events, including arranging logistics, materials, vendor coordination, and on-ground support.
  • Coordinate other office-related logistics as needed.

Required Qualifications:

  • Bachelor's degree in any discipline.
  • 5+ years of experience in office coordination, administration, or executive assistance.
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Very good verbal and written communication skills.
  • Excellent interpersonal skills with the ability to interact professionally at all levels.
  • Ability to multitask, prioritize, and work in a fast-paced environment.
  • Strong attention to detail and organizational abilities.
  • Willingness to take ownership and handle tasks independently.
