Job Title: Executive Assistant to Promoters

Location: Gurgaon

Experience Required: 5 -15 years

Industry Preference: Hospitality, Aviation, Luxury Guest Relations, Customer Experience

Compensation: Up to 20 LPA

About the Role

We are looking for a highly polished and emotionally intelligent Executive Assistant (EA) to work directly with the promoters of one of India's largest and most respected real estate development companies.

This is not a routine EA role we're seeking someone who brings a luxury hospitality mindset, anticipates needs with discretion and precision, and can act as the eyes and ears of the promoters across both professional and high-level personal engagements.

This role blends protocol, planning, guest experience, confidentiality, and interpersonal grace ideal for someone with a background in premium guest relations, aviation (cabin crew), five-star hospitality, or executive concierge services.

Key Responsibilities

Executive & Calendar Management

  • Coordinate complex calendars, travel schedules, and meeting itineraries
  • Prioritize and proactively manage appointments, reminders, and follow-ups
  • Ensure smooth logistics for internal and external meetings

Travel, Hospitality & Guest Relations

  • Manage all domestic and international travel arrangements, including visas, hotels, charters, and itineraries
  • Coordinate high-level guest visits from CEOs to dignitaries
  • Liaise with hospitality partners, concierge services, and security teams to ensure seamless experiences

Communication & Coordination

  • Serve as the point of contact between promoters and internal/external stakeholders
  • Draft confidential emails, meeting notes, and briefings
  • Coordinate with key internal departments (HR, Admin, Legal, Strategy) as required

Protocol & Discretion

  • Maintain confidentiality and tact in all matters, both business and personal
  • Anticipate needs and preferences of the promoters without being prompted
  • Uphold the highest standards of etiquette, presentation, and protocol

CX Mindset

  • Bring a service excellence approach to every touchpoint whether it's arranging a dinner meeting or organizing a high-stakes site visit
  • Apply skills from hospitality/aviation to handle VIPs, guests, clients with grace and efficiency

Ideal Candidate Profile

  • Minimum 5 years of experience in executive assistance or elite guest/client servicing roles
  • Strong preference for candidates from:
  • Luxury Hospitality Brands (Taj, Oberoi, Leela, Marriott, Hyatt, etc.)
  • Airlines (Cabin Crew / Ground Services) Vistara, Emirates, Etihad, Singapore Airlines, etc.
  • Customer Experience / Guest Relations Heads in premium organizations
  • Well-versed in managing HNI/VIP clientele, events, and high-pressure environments
  • Excellent communication skills English fluency mandatory
  • Highly organized, detail-oriented, and emotionally intelligent
  • Poised, presentable, and professional at all times
  • Proficiency in MS Office, Outlook, and digital calendar tools
