Job Description

Role - Executive Assistant

Location - Gurgaon, India - 5days WFO

Experience - 6+years

Responsibilities :-

Calendar & Schedule Management

Own and manage the Founder's calendar across multiple time zones

Schedule internal and external meetings, board calls, investor meetings, and client discussions

Prioritise meetings and resolve scheduling conflicts proactively

Ensure the Founder is always prepared with agendas, context, and relevant materials

Travel & Itinerary Management

Plan and book end-to-end domestic and international travel (flights, hotels, transfers, visas where applicable)

Create clear, well-structured travel itineraries

Coordinate last-minute changes and handle disruptions smoothly

Track travel preferences and optimise for efficiency and comfort

Communication & Coordination

Act as a key point of coordination between the Founder and internal teams, partners, and external stakeholders

Draft and manage professional emails, follow-ups, and reminders

Ensure timely responses and smooth information flow

Maintain discretion and confidentiality at all times

Founder Support & Administration

Support day-to-day operational tasks to reduce Founder bandwidth usage

Track action items from meetings and ensure follow-ups are closed

Organise documents, presentations, and important records

Assist with ad-hoc requests related to events, conferences, and business travel

Requirements

710 years of proven experience as an Executive Assistant supporting senior leadership

Strong expertise in calendar management, travel coordination, and meeting organization

Excellent written and verbal communication skills

High level of discretion and ability to handle confidential information

Strong attention to detail and problem-solving mindset.
