Executive Assistant Admin Specialist role will support complex and high-volume calendaring, travel planning, and managing expense reports for a number of executives. The Admin Specialists provide remote support to executives across the Company and its locations in APAC.
Responsibilities:
- Provide high-volume calendaring, travel, and expense support
- Provide Admin services during designated support hours
- Manage complex calendars for multiple executives in country unless otherwise informed.
- Schedule internal and external meetings for multiple executives
- Schedule and manage recurring and ad-hoc meetings and room bookings across offices
- Learn and utilize internal and external tools to provide calendar support
- Establish ongoing relationship and communications with executives to learn business priorities and apply to support
- Partner with executives and other Executive Assistant (Admin Specialist) for meeting coordination
- Provide proactive time management recommendations to executives
- Coordinate domestic and international travel arrangements via Oracle system
- Prepare and submit corporate card expense reports in a timely manner
- Maintain program scope of support within agreed-upon service level agreements
- Educate and inform executives on program goals, scope and service level agreements
- Provide coverage support for Admin Specialist colleagues
- Collaborate with global Admin Specialist colleagues on best practices and knowledge sharing
Qualifications:
- Min 5-7 years of experience in executive support/project management within the IT Consulting/Services/Tech or professional services industry.
- Detailed oriented self-starter with prior experience and comfortable interacting and supporting high-level executives, process improvements and project management of strategic initiatives.
- Exceptional organizational, multitasking, and problem-solving skills.
- Strong written and verbal communication abilities, with an aptitude for stakeholder management.
- High degree of professionalism, confidentiality, and integrity.

Working Mode- work from Office
Shift Timings- 10am 6pm
Level of experience- 5 to 7 years.
