Front Office Officer (Entry-level) — Reception and Administrative Support
This role replaces the ambiguous title Trainee/ Officer. The Front Office Officer (Entry-level) is responsible for welcoming visitors, managing communications, and providing general administrative support in a pharmaceutical office environment. Reports to the Office Manager or Head of Administration.
- Greet and assist visitors, clients, and vendors in a courteous and professional manner
- Manage incoming calls, emails, and correspondence, directing them appropriately
- Maintain front desk operations, ensuring a clean and organized reception area
- Handle appointment scheduling, meeting room bookings, and visitor logs
- Support administrative tasks such as filing, data entry, and document management
- Coordinate with internal departments for smooth communication and workflow
- Manage office supplies inventory and place orders when necessary
- Assist in courier management, dispatches, and tracking shipments
- Ensure compliance with company policies and basic regulatory requirements relevant to the pharmaceutical industry
- Provide support during audits and maintain necessary records
