Key Responsibilities:
Operations & Reporting:
- Conduct daily site rounds and share observations with clients and Operations team with action plans.
- Prepare and submit site reports including Daily Management Reports (DMR), Monthly Management Reports (MMR), and attendance/cost sheets to clients and operations teams on scheduled timelines.
- Upload approved cost sheets, invoices, and compliance documentation on portals like Overview, Evolution, KADence, CMO.
- Ensure accurate data entry, billing information, and timely submission to finance teams.
- Track and report on SLAs, KPIs, and site performance metrics.
Staff Management:
- Raise Workday requisitions for resignations and ensure smooth recruitment, handover, and onboarding processes.
- Approve daily attendance for site staff and subordinates.
- Manage contract renewals, salary approvals, and staffing levels.
- Train and guide site personnel to handle operational challenges efficiently.
Vendor & Contract Management:
- Follow up with vendors for e-invoices, approvals, and payments.
- Maintain vendor databases, track performance, and ensure compliance with agreements.
- Approve invoices, track payments, and ensure timely submissions.
Safety, Emergency & Compliance:
- Conduct fire mock drills and ensure fire & safety equipment readiness.
- Form and maintain Emergency Response Team (ERT) and display daily updates.
- Implement all SOPs, manuals, and safety plans, ensuring compliance with health, life safety, and statutory regulations.
- Conduct audits and review reports with clients and SMEs.
Technology & Systems Management:
- Implement and maintain technology platforms for facility management (Overview, Evolution, KADence, Compliance Portal, CMO).
- Maintain site master trackers, PPM planners, and ensure smooth execution of preventive maintenance schedules.
Client & Community Engagement:
- Conduct performance evaluations, QBRs, ABRs, and review meetings with clients.
- Manage complaints diplomatically and follow up on resolutions.
- Facilitate events, ESG, CSR activities, and maintain strong resident/community relationships.
- Ensure smooth revenue generation initiatives at the site.
