Job Summary:
The Operations Executive will play a critical support role in assisting the Sales, Presales, and Renewals teams by handling operational, commercial, and coordination activities. The role requires strong follow-up skills, basic financial understanding, vendor coordination, and proficiency in using accounting and tracking tools to ensure smooth business operations.
Key Roles & Responsibilities:
1. Payment Follow-ups & Coordination
- Send payment reminders to customers and partners in a timely and professional manner.
- Maintain records of pending and received payments.
- Coordinate with finance and sales teams on payment-related issues.
- Track overdue payments and escalate where required.
2. Bidding, Deal Registration & OEM Coordination
- Support Sales/Presales teams in bidding processes.
- Handle deal registration with OEMs (Original Equipment Manufacturers).
- Follow up with OEMs and distributors for best pricing and approvals.
- Maintain records of all registered deals and bid submissions.
3. Vendor Coordination & Procurement Management
- Request and collect quotations from vendors and distributors.
- Compare pricing and share with internal teams.
- Maintain vendor communication records and price trackers.
- Assist in purchase-related documentation when required.
- Accurately load customer orders into the system and ensure proper documentation.
- Track and monitor order progress from initiation to fulfilment.
- Coordinate with internal teams and vendors to ensure timely order processing and fulfilment.
- Keep customers and the sales team updated on order status.
- Ensure timely and accurate delivery of materials to customers.
- Coordinate with logistics partners and vendors for smooth dispatch operations.
- Compare logistics pricing and share before PRF approval.
- Coordinate with Insurance partner for transit Insurance before moving the shipment.
4. Tracker Creation & Management
- Create and maintain various operational trackers such as:
- Sales pipeline tracker
- Deal registration tracker
- Payment follow-up tracker
- Vendor quotation tracker
- Ensure trackers are updated regularly and shared with relevant stakeholders.
5. Accounting & Software Knowledge
- Basic working knowledge of accounting software such as:
- Busy / Tally / Zoho Books (any one or more preferred)
- Assist in retrieving invoices, payment details, and basic financial data when required.
6. Support to Sales, Presales & Renewals Team
- Assist in preparing commercial documents as needed.
- Support in renewals follow-ups and documentation.
- Coordinate between internal teams (Sales, Finance, Procurement, Presales).
- Handle emails, documentation, and operational coordination efficiently.
Required Skills & Competencies:
- Good communication skills (written & verbal).
- Strong follow-up and coordination ability.
- Basic understanding of accounting and finance.
- Proficiency in MS Excel, Word, and Email.
- Attention to detail and organizational skills.
- Ability to work in a fast-paced IT environment.
Preferred Experience:
- 4- 6 years of experience in operations, finance coordination, or sales support role.
