Job Description
Job Responsibilities
- Employee Recruitment & Selection: Coordinate the recruitment process, including sourcing candidates, scheduling interviews, coordinating with department heads, and completing joining formalities.
- Employee Onboarding: Ensure proper onboarding and induction of new employees, including collection and verification of required documents and completion of joining formalities.
- Employee Records: Maintain accurate and up-to-date employee personal files, statutory documents, qualification records, experience certificates, and other HR-related documentation.
- Attendance & Leave Management: Monitor employee attendance, leave, late coming, absenteeism, and duty schedules in coordination with respective department heads.
- Payroll Coordination: Collect and verify attendance, leave, overtime, incentives, deductions, and other payroll-related information and coordinate with the concerned team for timely salary processing.
- Staffing & Manpower Planning: Coordinate with department heads regarding manpower requirements, vacancies, replacements, and staffing needs.
- Employee Engagement & Grievance Handling: Receive and coordinate employee concerns and grievances and escalate unresolved issues to the appropriate authority.
- Hospital Policies & Discipline: Ensure employees are aware of and comply with hospital policies, rules, code of conduct, attendance requirements, dress code, and disciplinary procedures.
- Performance Management: Coordinate employee performance evaluations, probation reviews, confirmation processes, appraisals, and related documentation.
- Training & Development: Coordinate staff training, induction programs, mandatory training, competency assessments, and continuing education programs in consultation with department heads.
- Statutory & Compliance Records: Maintain required HR and statutory records and coordinate compliance-related documentation as applicable to the hospital.
- Employee Joining & Exit Formalities: Ensure proper completion of joining, transfer, resignation, notice period, clearance, exit interview, and full-and-final settlement documentation.
- HR MIS & Reports: Prepare and maintain HR reports related to manpower, attendance, absenteeism, attrition, recruitment, vacancies, training, and other HR metrics as required by management.
- Department Coordination: Coordinate with Nursing, Medical, Administration, Finance, Pharmacy, Laboratory, OT, CSSD, and other departments for HR-related requirements and employee-related matters.
- Staff Communication: Communicate management instructions, HR policies, circulars, notices, and important updates to employees in a timely manner.
- Employee Welfare: Support employee welfare initiatives, staff engagement activities, recognition programs, and other activities aimed at maintaining a positive work environment.
- Confidentiality: Maintain strict confidentiality of employee personal information, salary details, disciplinary records, and other sensitive HR information.
- HR Documentation & Filing: Ensure systematic maintenance, updating, and safe custody of all HR files, registers, forms, and records.
- Recruitment Tracker: Maintain an updated recruitment tracker showing vacancies, candidates contacted, interview status, selection status, joining dates, and pending positions.
- Daily HR Operations: Handle day-to-day HR activities and provide timely updates to the Medical Superintendent/Hospital Administrator regarding important HR matters and pending issues.
- Staff Compliance Monitoring: Support management in monitoring compliance with hospital policies, staff requirements, mandatory documents, training requirements, and departmental instructions.
- Any Other Assigned Duties: Perform any other HR-related duties and responsibilities assigned by the Medical Superintendent, Hospital Administrator, or authorized management.
