Role Description

We are seeking a highly organized and proactive Executive Assistant to support Executive Director. The ideal candidate will have prior experience in the pharma/healthcare industry and demonstrate strong coordination, analytical, and communication skills, along with the ability to handle both strategic and operational responsibilities.

This is a full-time, on-site role based in Thane, Mumbai supporting the Executive Director. The role involves providing high-level administrative and operational support, including managing calendars and schedules, organizing meetings, handling correspondence, preparing reports and presentations, and processing expense reports. The Executive Assistant will also be responsible for coordinating with internal and external stakeholders, ensuring smooth administrative operations, tracking and following up on key action items, and handling sensitive and confidential information with a high degree of discretion.

Key Responsibilities:

  • Provide comprehensive administrative support to the Executive Director
  • Manage and coordinate calendars, meetings, and appointments efficiently
  • Handle travel arrangements including bookings, itineraries, and expense management
  • Prepare MIS reports, dashboards, corporate presentations, and Minutes of Meetings (MOM)
  • Track, monitor, and follow up on key action items across departments
  • Create and maintain dashboards for business tracking and reporting
  • Act as a liaison between internal teams and external stakeholders
  • Screen calls, emails, and correspondence with professionalism and discretion
  • Ensure timely follow-ups on deliverables and leadership directives
  • Maintain strict confidentiality of sensitive information
  • Support in business coordination, reporting, and strategic initiatives

Qualifications

  • Experience:38 years as an Executive Assistant / Personal Assistant to senior leadership
  • Industry Preference: Pharma / Healthcare / Diagnostics (mandatory)
  • Strong proficiency in MS Office (Excel, PowerPoint, Outlook)
  • Experience in dashboard creation and reporting
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • High level of discretion and integrity
  • Ability to work in a fast-paced and dynamic environment
  • Master Degree in Business Administration is must
