Job Description

Job Title: Executive Assistant to Co-Founders

Location: Bangalore | Full-time | MondayFriday, 9:30 AM 6:30 PM

Are you a proactive, detail-oriented, and highly organized professional looking to work closely with leadership in a fast-paced creative environment We're hiring an Executive Assistant to support the Co-Founders of our digital marketing agency.

In this role, you'll be the backbone of our daily operationsmanaging calendars, streamlining communications, handling travel and expenses, and coordinating with internal departments to keep everything running smoothly.

Key Responsibilities:

Calendar & Meetings

  • Manage all appointments, calls, and meetingsinternal & external
  • Send daily & 24-hour prior reminders
  • Organize and track team review meetings and individual check-ins

Travel & Accommodation

  • Book flights, trains, and hotels
  • Maintain a preferred hotel list (Mumbai, Delhi, Chennai, Hyderabad)
  • Manage travel itineraries and related expense tracking

Expense & Reimbursements

  • Track and organize:
  • Travel bills
  • Entertainment/client expenses
  • General monthly office expenses

Company Car Coordination

  • Oversee petrol tracking, service schedules, insurance renewals, and documentation

Monthly Internal Reviews

  • Coordinate reviews across departments with:
  • Monthly performance recaps
  • Revenue summaries per client
  • Client feedback, concerns, and highlights
  • Plans and progress for the current month

Finance & Reporting

  • Prepare monthly financial summaries:
  • Actual vs. projected expenses
  • Cash flow overview for past 6 months
  • Expected receivables from clients

Daily Founder Support

  • Track daily to-dos, task updates, and reminders
  • Flag important priorities and decisions needed

Communication & Coordination

  • Act as the point of contact for Co-Foundersinternal and external
  • Draft communication, manage documentation, and maintain confidentiality

Project & Tender Tracking

  • Monitor new business enquiries/tenders
  • Share high-priority leads with Founders for review

What We're Looking For:

  • 1-2 years of experience as an EA or Chief of Staff (agency/startup preferred)
  • Excellent written and verbal communication skills
  • Strong command over Google Workspace & project tools
  • High attention to detail, organization, and ability to multitask
  • Discretion, professionalism, and ownership mindset
