Role Summary
The Junior Executive Assistant plays a key support role in the Founder's Office by assisting the Executive Assistant and Founders with administrative, coordination, and operational tasks. This position ensures smooth execution of day-to-day responsibilities, helping the EA focus on high-priority strategic activities. The ideal candidate is detail-oriented, proactive, organized, and interested in growing into a full-fledged Executive Assistant role.
Key Responsibilities
Administrative Support
- Assist the Executive Assistant and Founders with day-to-day administrative tasks.
- Manage calendars, schedule meetings, set reminders, and maintain follow-up/action item trackers.
- Draft and proofread emails, memos, and internal communications.
- Maintain digital and physical filing systems with strict confidentiality.
Meeting & Coordination
- Coordinate internal and external meetings, prepare agendas, and organize necessary documents.
- Support in taking minutes, tracking decisions, and circulating meeting summaries.
- Liaise with internal teams, external partners, and vendors for routine communication and coordination.
Travel & Logistics
- Assist with travel arrangements for Founders, senior leaders, and external guests.
- Book flights, accommodation, transportation, and prepare detailed itineraries.
Office Operations & Support
- Handle routine office tasks such as printing, scanning, documentation, and note-taking.
- Track and manage office supplies, stationery, and executive office essentials.
- Maintain checklists, trackers, and dashboards for office activities.
Project & Task Support
- Conduct basic research, compile data, and prepare summaries or briefing notes for ongoing projects.
- Track small project tasks, deadlines, and progress updates.
Event & Meeting Assistance
- Support internal event planning and coordination.
- Arrange food, beverages, and meeting logistics as needed.
Qualifications & Skills
- Bachelor's degree in any discipline.
- 12 years of experience in administrative or coordination roles (internships included).
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Proficiency in MS Office, Google Workspace, and basic documentation tools.
- Ability to maintain confidentiality and handle sensitive information.
- Proactive, reliable, and eager to learn and grow in an executive support role.
