Purpose of the role
The Executive Assistant to Consult Lawyer is a critical operational role designed to ensure the Consult Lawyer can dedicate maximum time to client-facing consultation work. The Consult Lawyer consults for the full working day, leaving minimal capacity for day-to-day operational, administrative, and coordination tasks. This role acts as the Consult Lawyer's right hand, owning and driving all non-legal operational activity, managing workflows end to end, and ensuring nothing falls through the cracks. The position requires initiative, sound judgement, and the ability to operate independently across a wide range of tasks.
Responsibilities and duties
- Own and manage the Consult Lawyer's day-to-day operational workload, ensuring all non-legal tasks are progressed, tracked, and completed without requiring follow-up from the Consult Lawyer.
- Proactively identify tasks, deadlines, and commitments arising from consultations, correspondence, and meetings, and drive them to resolution.
- Manage and prioritise the Consult Lawyer's task list, flagging items that require direct input and handling everything else independently.
- Maintain oversight of open items, pending actions, and recurring obligations to ensure continuity and accountability.
- Manage the Consult Lawyer's calendar, scheduling consultations, internal meetings, and external engagements with minimal disruption to consultation blocks.
- Coordinate meeting logistics, prepare agendas, circulate pre-reading materials, and capture action items post-meeting.
- Anticipate scheduling conflicts and resolve them proactively, ensuring the Consult Lawyer's time is protected and optimised.
- Monitor and manage the Consult Lawyer's inbox, triaging emails by urgency and relevance, drafting responses where appropriate, and escalating matters requiring direct attention.
- Draft, review, and finalise correspondence, internal communications, and routine documents on behalf of the Consult Lawyer.
- Act as the first point of contact for internal and external stakeholders seeking the Consult Lawyer's input, exercising discretion in what to handle, redirect, or escalate.
- Prepare, format, and organise documents, reports, and presentations as required by the Consult Lawyer.
- Maintain structured and accessible filing systems across relevant platforms, ensuring records are current, properly categorised, and retrievable.
- Coordinate document reviews, collate feedback, and manage version control for materials in circulation.
- Liaise with internal teams across operations, HR, IT, finance, and client services on behalf of the Consult Lawyer, ensuring information flows accurately and promptly.
- Follow up on delegated tasks and commitments made by or to the Consult Lawyer, holding relevant parties accountable to timelines.
- Support coordination of cross-functional initiatives, projects, or process improvements led or sponsored by the Consult Lawyer.
- Coordinate all travel arrangements including flights, accommodation, visas, and itineraries, ensuring efficiency and alignment with the Consult Lawyer's schedule.
- Manage logistics for events, client visits, or external engagements involving the Consult Lawyer.
- Conduct research and compile information on topics, vendors, processes, or issues as directed by the Consult Lawyer.
- Prepare briefing notes, summaries, and background materials ahead of meetings, presentations, or decisions.
Key deliverables
- Consult Lawyer's operational workload managed end to end with minimal items requiring follow-up.
- Calendar, inbox, and correspondence managed proactively with clear prioritisation and timely responses.
- All delegated tasks and commitments tracked to closure within agreed timeframes.
- Filing systems, documents, and version-controlled materials maintained in an organised and retrievable state.
- Stakeholder coordination handled smoothly across internal teams, with information flowing accurately and on time.
- Travel, logistics, and event coordination completed without gaps or last-minute issues.
- Briefing notes and research materials prepared ahead of meetings and decisions.

- Adhere to all organisational policies, procedures, and codes of conduct as applicable to the role.
- Maintain the highest standards of confidentiality in relation to client matters, internal operations, and sensitive business information.
- Handle all personal and professional data in accordance with applicable privacy and data protection requirements.
- Immediately report any actual or suspected breaches of confidentiality, compliance, or professional standards to the India Director.
