Job Description

Graviton is a fast-growing, founder-led quantitative trading firm with global ambitions. As an Executive Assistant to the Partners, you&aposll be the operational right hand to the leadership team, ensuring everything from calendar management to personal logistics runs like clockwork. If you&aposre a detail-obsessed problem-solver who thrives in fast-paced, high-trust environments, this is the role for you.

Administrative & Operational Support

  • Manage complex calendars, appointments, and high-stakes meetings across time zones.
  • Coordinate internal reviews, team meetings, and offsites.
  • Take ownership of recurring leadership syncs: skip-level reviews, batch meetings, and strategic check-ins.
  • Act as the go-to liaison for internal and external stakeholders.

Travel & Event Planning

  • End-to-end coordination of domestic and international travel (visas, bookings, YPO retreats, etc.).
  • Maintain travel calendars and ensure all prep is in place ahead of key events.

Expense & Financial Oversight

  • Track and manage all reimbursements, staff salaries, petrol expenses, and driver payments.
  • Maintain accurate documentation and follow-ups for all partner-related investments and accounts.
  • Liaise with accountants for AMEX, YPO fees, insurance, and other personal or firm-related bills.

Team Coordination

  • Work with team leads to organize bi-weekly check-ins, performance reviews, and hiring syncs.
  • Ensure operational clarity and cadence across all teams connected to the Partners.

Skills and Qualifications:

  • 5+ years in a high-trust EA or operations support role—ideally with founders or leadership.
  • Strong organizational skills with the ability to prioritize across multiple workstreams.
  • Comfort with ambiguity and a calm, proactive attitude under pressure.
  • Excellent communication, discretion, and follow-through.
  • Tech-savvy and quick to learn internal tools.
