Job Title: Executive Assistant (EA)

Department: Administration / Management

Reports To: Managing Director / Senior Management

Job Location-Noida Sector 62

Salary- As per market standard

Job Summary

The Executive Assistant provides high-level administrative support to senior management by managing schedules, handling correspondence, coordinating meetings, and ensuring smooth day-to-day operations of the executive office. The role requires strong organizational skills, confidentiality, professionalism, and the ability to handle multiple priorities efficiently.

Key Responsibilities

Administrative Support

Manage executive calendar, appointments, meetings, and travel arrangements.

Draft, review, and manage emails, letters, reports, and presentations.

Maintain and organize files, records, and confidential documents.

Communication & Coordination

Act as the point of contact between executives and internal/external stakeholders.

Screen calls, emails, and visitors and respond appropriately.

Coordinate meetings, prepare agendas, take minutes, and follow up on action items.

Office & Operations Management

Monitor deadlines and ensure timely execution of tasks and projects.

Assist in preparing MIS reports and presentations for management review.

Support coordination with finance, HR, legal, and operations teams as required.

Confidential & Strategic Support

Handle sensitive information with the highest level of confidentiality.

Support leadership in planning, organizing, and executing business priorities.

Assist in preparing documentation for contracts, agreements, and compliance.

Skills & Qualifications

Education

Graduate in any discipline (MBA/Management preferred)

Experience

25 years of experience as Executive Assistant or in a similar administrative role

Technical Skills

Proficient in MS Office (Word, Excel, PowerPoint, Outlook)

Strong documentation and reporting skills

Core Competencies

Excellent communication & interpersonal skills

Strong organizational and time-management abilities

High level of professionalism and discretion

Ability to multitask and work under pressure

Work Environment

Full-time office-based role

Requires interaction with senior leadership and external stakeholders
