Job Description:
As an Executive Assistant to one of the Directors, you will support senior leadership by managing schedules, coordinating meetings and communications, assisting with projects, and ensuring smooth day-to-day operations. This role requires comfort with a wide range of responsibilities, the ability to navigate ambiguity, and adaptability in learning new tools, systems, and workflows. The position demands strong judgment, initiative, and the capacity to support fast-moving, executive-level operations with minimal oversight.
You will work closely with a Director to manage priorities, streamline operations, and ensure effective execution across both day-to-day activities and longer-term initiatives.
Responsibilities:
- Schedule & Calendar Management:
- Organize and maintain leadership calendars, appointments, and events to optimize time.
- Coordinate meetings, reminders, follow-ups, and travel arrangements, including itineraries and logistics.
- Email & Correspondence:
- Draft, filter, and respond to emails on behalf of leadership, ensuring timely responses and flagging urgent matters.
- Meeting & Project Support:
- Prepare agendas, documents, and presentations for meetings.
- Take minutes, follow up on action items, and assist in planning and executing special projects.
- Track project progress, internal communications, and report outcomes as required.
- Administrative & Documentation Support:
- Maintain organized records, files, databases, and documentation for easy accessibility.
- Ensure deadlines and commitments are tracked and updated.
- Conduct research and provide summaries or reports to aid decision-making.
- Coordination & Confidentiality:
- Serve as a liaison between leadership and internal teams.
- Assist with ad hoc tasks to improve leadership efficiency.
- Handle sensitive information with discretion and ensure data security.
- Event & Team Support:
- Help organize company events, meetings, or team activities as needed.
Requirements:
- Bachelor's degree in Business Administration, Communications, or related field.
- Excellent organizational and time management skills.
- Proficiency in Google Workspace.
- Ability to manage multiple priorities and meet deadlines under pressure.
- High level of discretion in handling confidential information.
- Strong interpersonal skills to interact with internal teams.
- Professionalism, adaptability, and ability to work independently.
- Excellent verbal and written communication skills in English, with the ability to clearly and professionally articulate ideas and engage confidently with clients.
Nice-to-Have Skills:
