About the job

The Executive Assistant will be responsible for managing overall administrative operations while providing high-level executive support to the CEO. This is a multi-tasking role that combines day- to-day office management, vendor coordination, and administrative efficiency with executive assistance responsibilities such as calendar management, travel coordination, and communication handling.

Key Responsibilities:

Executive Assistant:

×       Manage the CEO's calendar, schedule meetings, and handle appointments.

×       Coordinate travel arrangements, hotel bookings, and itinerary planning for the CEO.

×       Handle confidential correspondence and maintain sensitive records with discretion.

×       Serve as a communication bridge between the CEO and internal/external stakeholders.

×       Coordinate with different departments to ensure the timely execution of the CEO's directives.

×       Draft official emails and internal communication as required.

 

Administrative Management:

×       Oversee daily office operations to ensure smooth functioning.

×       Oversee and assign tasks to the office support staff.

×       Manage procurement and inventory of office supplies, HR stationery and other miscellaneous items.

×       Maintain and track office expenses; raise purchase requests and ensure timely approvals.

×       Coordinate with vendors for supply orders, quotations, and invoice submissions.

×       Liaise with the Finance team for vendor payments, address payment issues, and set reminders for pending approvals or follow-ups.

×       Handle facility-related tasks, ensuring cleanliness, maintenance, and upkeep of the office environment.

×       Arrange refreshments, food, or other hospitality needs for visiting guests or meetings.

 

Must Have Qualifications/ Skills:

×       Bachelor's Degree (preferred but not required) in Business Administration, Communications, or related field.

×       Proven Experience: 1+ years of experience as an Executive Assistant & Admin or in a similar administrative support role.

×       Strong Organisational Skills: Ability to manage multiple tasks, prioritise work, and handle time- sensitive matters effectively.

×       Excellent Communication: Exceptional verbal and written communication skills, with the ability to interact with all levels of the organisation and external partners.

×       Attention to Detail: High attention to detail, with a focus on accuracy and efficiency.

×       Discretion & Confidentiality: Must handle sensitive information with utmost discretion and confidentiality.

×       Problem-Solving Skills: Ability to anticipate needs, solve problems quickly, and remain calm under pressure.

×       Self-Starter: Proactive and independent, with the ability to take initiative and make decisions without constant supervision.

×       Adaptability: Ability to thrive in a fast-paced, dynamic work environment with shifting priorities.
