Job Title: Executive Assistant
Key Responsibilities
Executive & Administrative Support
* Provide day-to-day administrative support to the founder.
* Manage emails, correspondence, follow-ups, and professional communication.
* Organize documents, notes, files, and business information.
* Support scheduling, calendar coordination, and meeting preparation.
* Track action items, deadlines, and pending tasks.
* Prepare meeting notes, summaries, and follow-up documents.
* Assist with vendor, partner, client, or stakeholder communication.
* Support general business operations across two startup businesses.
Writing & Communication Support
* Draft clear, professional, and polished email correspondence.
* Assist in preparing press releases and public-facing announcements.
* Support grant-writing tasks, including drafting, editing, formatting, and organizing grant materials.
* Help write business summaries, event descriptions, proposals, bios, outreach messages, and formal communications.
* Adapt writing style based on audience, whether formal, promotional, creative, or administrative.
* Proofread and edit documents for grammar, tone, clarity, and professionalism.
* Maintain a high standard of written communication across all business materials.
Grant Writing & Research Support
* Assist with grant application drafts and supporting documentation.
* Research grant opportunities, eligibility criteria, timelines, and submission requirements.
* Organize grant-related information, attachments, deadlines, and checklists.
* Support preparation of narratives, impact statements, organizational descriptions, and project summaries.
* Coordinate with the founder to collect required information for submissions.
Press, Events & Business Support
* Assist with press release drafts for events, launches, partnerships, or announcements.
* Support written content for entertainment events, public programs, weddings, corporate events, and private celebrations.
* Help prepare outreach communication to partners, sponsors, vendors, media, or community stakeholders.
* Maintain organized records of event-related communication and documents.
* Support the founder in keeping multiple business priorities organized and moving forward.
Required Skills & Qualifications
* Excellent written English communication skills.
* Strong ability to draft polished correspondence, press releases, summaries, and professional documents.
* Prior experience as an Executive Assistant, Administrative Assistant, Virtual Assistant, Communications Assistant, Grant Assistant, or similar role.
* Strong organizational and time-management skills.
* Ability to manage multiple tasks across two startup businesses.
* High attention to detail.
* Ability to work independently and take ownership of assigned work.
* Comfortable working remotely with minimal supervision.
* Strong proofreading, editing, and formatting skills.
* Ability to understand tone, audience, and brand voice.
* Reliable, responsive, and professional communication style.
