With a presence in the US and Pune, India, FlytBase is building the nervous system for large industrial sites. The company operates at AI speed, with autonomy and intelligence at its core. Our lean team thrives in a high-agency, high-velocity environment where AI is not a side project, it is the operating system for how we think, build, and grow.
The RoleYou'll be the backbone of FlytBase's operations in Pune—the person who makes impossible things happen, whether that's negotiating complex property deals, handling vendor relationships, or managing high-stakes events. This isn't your typical admin role. You'll need legal savvy to protect the company's interests, street smarts to navigate complex vendor relationships, and the high agency to get things done without constant oversight.
You'll own everything from safety audits and office operations to event management and asset disposal. When something goes wrong—and things will go wrong—you'll be the one who knows exactly who to call, how to negotiate, and what creative solutions (jugaad) will actually work. You're not just following processes; you're building them.
What You'll Own• Legal and property matters: Draft agreements, manage high-value deals, coordinate with lawyers to protect company interests
• Vendor management: Build and maintain relationships with contractors, suppliers, and service providers across Pune
• Event operations: Plan and execute company events, conferences, team outings—from venue selection to AV setup
• Office operations: Conduct safety audits, manage maintenance vendors, oversee office furnishing and material procurement
• Asset disposal: Handle bulk sales of old equipment, furniture, and technology through various vendor channels
• Risk management: Anticipate problems before they happen and build contingency plans
• Liaison work: Navigate government relationships, permits, and regulatory requirements when needed
• Budget optimization: Negotiate prices, evaluate material quality, ensure value-for-money across all vendor relationships
• Crisis resolution: Handle disputes with landlords, vendors, or service providers while protecting company interests
Best Suited For• 8+ years handling high-value deals, property transactions, or complex vendor relationships
• Proven experience with legal agreements, contract negotiations, and protecting business interests
• Street-smart operational experience—you know how to get things done in India's business environment
• Event management experience with external vendors, AV systems, and large-scale coordination
• Experience handling disputes, crisis situations, or challenging stakeholder relationships
• Strong network of contacts across legal, real estate, event management, or vendor ecosystems
• Hands-on experience with procurement, material evaluation, and vendor quality assessment
• Self-organized and independent—you can create your own daily plans and execute without micromanagement
What Makes You a Flyter• High agency problem-solving: You don't just identify problems—you find creative solutions and execute them completely.
• Relationship builder: You understand that business gets done through people, and you know how to align different stakeholders toward solutions.
• Street-smart negotiator: You can read people, understand their motivations, and find win-win solutions even in difficult situations.
• Risk anticipation: You've been through enough challenging situations to foresee consequences and calibrate your actions accordingly.
• Ownership mentality: When you take on a problem, it stays your problem until it's completely resolved—no handoffs or excuses.
What We Don't Want• Process followers who need step-by-step instructions for everything—this role requires building processes, not following them.
• People who avoid difficult conversations or confrontational situations—you'll need to handle disputes and negotiate tough deals.
• Administrators who just coordinate vendors without understanding quality, pricing, or execution details.
• Anyone who needs constant guidance or can't work independently—you'll own entire functions with minimal oversight.
• People who see admin work as routine paperwork—this is high-stakes operations that directly impacts the business.
• Candidates without hands-on experience in complex negotiations or high-value transactions.
Why FlytBase• H3 Philosophy: We're building a company that's Happy, Healthy, AND High-Performing. Not as a balance—as a harmony. We move fast without burning out.
• Radical Ownership: You won't need permission to experiment, build, or lead. If you see a problem, you own the solution.
• Mazaa Aayega: Our internal motto. Yes, the work is intense. But it's also deeply meaningful and genuinely fun.
• Systems That Scale: We don't celebrate one-off heroics. We build compounding systems that create leverage.
