Job Description L3/L4 RightFax Architect (Enterprise Fax Platform SME)
Role Overview
The RightFax Architect is responsible for end-to-end ownership, architecture, and optimization of the RightFax platform, ensuring high availability, performance, security, and seamless integration with enterprise systems.
This role acts as the highest technical escalation point (L3/L4) and drives platform stability, modernization (FoIP/SIP/cloud), and automation across the fax infrastructure.
Key Responsibilities
Platform Ownership & Architecture
- Own design and architecture of:
- RightFax servers and environment
- Fax channels (FoIP, SIP, traditional lines if applicable)
- Define:
- High availability (HA) architecture
- Disaster recovery (DR) strategy
- Scalability and capacity planning
- Ensure platform resilience and minimal downtime
Advanced Troubleshooting & Escalation (L3/L4)
- Act as final escalation point for complex issues:
- High-volume fax failures
- Routing inconsistencies
- Integration breakdowns
- Perform deep-dive analysis:
- RightFax logs
- Network/SIP traces
- Server performance metrics
- Engage OEM/vendor support with structured diagnostics
Fax Workflow & Integration Architecture (Critical)
- Design and manage integrations with:
- Email systems (Exchange / SMTP / M365)
- Enterprise applications (ERP, EMR, document systems)
- MFP/printers and scanning workflows
- Architect:
- Email-to-fax / fax-to-email workflows
- Application-triggered faxing
- Ensure reliable document flow across systems
FoIP / SIP / Telephony Integration
- Design and support:
- Fax over IP (FoIP)
- SIP trunk integration
- Work with network/telephony teams to:
- Optimize fax transmission quality
- Resolve latency and packet loss issues
- Ensure stable communication with telecom infrastructure
Performance & Capacity Optimization
- Define KPIs:
- Fax success rate
- Queue processing time
- Channel utilization
- Optimize:
- Load balancing across channels
- Queue prioritization
- Identify bottlenecks and improve throughput
Patch Management & Platform Maintenance
- Define and execute:
- RightFax upgrades and patching strategy
- Perform:
- Pre/post validation
- Rollback planning
- Ensure minimal business disruption during changes
Security & Compliance
- Ensure secure handling of fax data:
- Encryption and secure transmission
- Align with:
- Regulatory requirements (especially healthcare/finance)
- Maintain audit logs and access control policies
Automation & Engineering
- Develop automation using:
- PowerShell scripting
- Automate:
- User provisioning
- Queue monitoring and remediation
- Reporting and alerting
- Reduce manual intervention
Monitoring & Reporting
- Define monitoring strategy:
- Fax success/failure trends
- Queue backlog alerts
- Build dashboards for:
- Operational teams
- Client reporting
- Enable proactive issue detection
Incident Leadership & Governance
- Lead technical response during:
- Major fax outages
- Integration failures
- Provide:
- RCA (Root Cause Analysis)
- Preventive action plans
- Ensure structured escalation management
Stakeholder & Client Management
- Act as RightFax SME for client discussions
- Present:
- Platform health
- Risks and mitigation plans
- Improvement roadmap
- Translate technical issues into business impact
Required Skills & Qualifications
Technical Expertise (Non-Negotiable)
- Deep hands-on experience in:
- RightFax architecture and administration
- Strong understanding of:
- Fax protocols and workflows
- Windows Server environments
Telephony & Network Skills
- Strong knowledge of:
- SIP / VoIP / FoIP
- Network fundamentals (latency, packet loss, QoS)
- Experience working with telecom teams
Integration Expertise
- Experience integrating RightFax with:
- Exchange / M365
- Enterprise applications (ERP, healthcare systems, etc.)
- Strong understanding of workflow automation
Automation & Tools
- PowerShell (preferred)
- Experience with monitoring tools and reporting
Process & Governance
- Strong ITIL knowledge:
- Incident, Problem, Change Management
- Experience in:
- RCA reviews
- CAB processes

Experience & Education
- 712+ years of experience in RightFax / fax infrastructure
- 35 years in L3/L4 or SME role
- Bachelor's degree in IT or related field
- Certifications (good to have):
