Job Description

Responsibilities

Technical Operations & Maintenance

  • Monitor daily technical operations and ensure seamless site functionality.
  • Ensure availability of critical supplies such as electrical, plumbing, and carpentry materials.
  • Conduct routine building inspections and identify operational snags for timely resolution.
  • Ensure preventive maintenance of all electro-mechanical systems as per 52-week schedule.
  • Support renovation and refurbishment activities at the site.

Inventory & Procurement Support

  • Conduct weekly physical inventory checks and manage stock records.
  • Raise IMT (Inventory Material Transfer) requests as required.
  • Support procurement processes for both regular and ad-hoc technical requirements.
  • Track vendor invoices and ensure timely processing and coordination.
  • Assist in forecasting monthly operational expenditure.

Vendor & Stakeholder Coordination

  • Coordinate with vendor teams to ensure smooth facility operations.
  • Support quarterly vendor Non-Disclosure Compliance (NDC) processes.
  • Liaise with landlord teams for statutory compliance including fire, health, and safety regulations.
  • Build strong working relationships with stakeholders and ensure service expectations are met.

Compliance, Safety & Risk Management

  • Participate in emergency evacuation, crisis management, and business continuity activities.
  • Ensure compliance with statutory and building safety standards.
  • Support risk management and identify operational improvement opportunities.
  • Assist in energy management and cost-saving initiatives.

Reporting & Analytics

  • Analyze MEP readings and prepare weekly/monthly operational reports.
  • Track maintenance contracts, spare parts usage, incident reports, and improvement initiatives.
  • Ensure accurate reporting of operational performance data.

Customer & User Experience

  • Share user feedback surveys and ensure corrective actions are taken.
  • Interact with users regularly to understand service needs.
  • Proactively resolve customer concerns to ensure high service satisfaction.
  • Support continuous improvement in facility service delivery.

Team Support & Training

  • Track staff attendance using VMT tools.
  • Provide training to onsite teams on equipment procedures and operational standards.
  • Support assistant manager in daily operational activities.
