What this job involves:
Asset Management
- Maintain a centralized record of facility assets, including equipment, furniture, and fixtures.
- Track asset status, locations, and custodians using an asset management system or database.
- Conduct regular audits to verify the accuracy and condition of assets, and update records accordingly.
- Support asset tagging, labeling, and identification processes.
Roles & Responsibilities
- Review and understand technical specifications of Stakeholder Purchase Requisition.
- Upload in the Internal Purchase Requisition Tracker.
- Send RFQ/RFP to the respective vendors and ask for samples if required for quality verification.
- Negotiate terms and prices with vendor/supplier to ensure cost-efficiency and quality.
- Coordinate with the internal department HOD for sample quality validation.
- Validate quotations as per the requirements.
- Develop and maintain relationships with key suppliers/vendors for smooth communication and to meet required expectations.
- Make sure that all the procured items meet the required quality standards and specifications.
- Maintain supplier/vendors database up to date.
- Prepare Price Comparison sheet and submit for approval to the authority signatory.
- Prepare POR (Purchase Requisition) and send it to JLL Corporate Office to raise a Purchase Order as per company policy & procedures.
- Upload POR information in the tracker.
- Email PO Copy to the respective vendors/suppliers along with the stakeholders.
- Follow up on the delivery status and keep the Storekeeper and Concerned department posted.
- Resolve problems that arise with goods such as discrepancies, damage, and wrong deliveries.

- POR (Purchase Order Requisition) record tracker.
- PO (Purchase Order) Copies.
- Record keeping and Reporting:
- PO copies digital.
- Quotation digital.
