Job Description

Key Responsibilities

Technical Operations & Site Monitoring

  • Monitor day-to-day technical operations at the site
  • Conduct regular inspections and walkthroughs of the building
  • Identify and report maintenance issues and ensure timely resolution through ticketing systems
  • Ensure adherence to best practices in equipment operation and maintenance

Maintenance & Facility Support

  • Support availability of essential materials including electrical, plumbing, and carpentry items
  • Coordinate with vendors and on-site staff for smooth facility operations
  • Ensure zero stock-out situations by tracking material requirements
  • Assist in preventive maintenance activities and system upkeep

Reporting & Analysis

  • Collect readings and data for weekly and monthly M&E reports
  • Analyze maintenance contracts, spare parts usage, incident reports, and improvement opportunities
  • Support preparation of technical reports and operational insights

Energy & Risk Management

  • Support identification of energy-saving opportunities and efficiency improvements
  • Assist in risk management and engineering system audits
  • Monitor operational performance to improve cost efficiency

Compliance & Safety

  • Coordinate with landlord and ensure compliance with fire, health, and safety regulations
  • Maintain health and safety registers and documentation
  • Participate in emergency evacuation and crisis management procedures
  • Support business continuity planning and execution

Client & Stakeholder Management

  • Maintain strong relationships with clients, vendors, and internal stakeholders
  • Ensure high levels of customer service and responsiveness
  • Proactively understand and address client and employee needs
  • Ensure SLA and KPI targets are met consistently

Vendor & Procurement Management

  • Obtain quotations based on site requirements
  • Share material indents for monthly supply requirements
  • Coordinate procurement activities to ensure uninterrupted operations
  • Track vendor performance and service delivery

Finance & Administrative Support

  • Support billing, invoicing, and monthly forecasting activities
  • Ensure accuracy in invoice processing and documentation
  • Provide basic administrative support including front desk coordination and scheduling
  • Assist in housekeeping and general site support activities

Emergency & Operational Support

  • Support emergency evacuation, crisis management, and business continuity procedures
  • Provide 24/7 emergency site support when required
  • Assist in handling urgent operational issues and service disruptions
