Role Overview
This role is the senior execution lead for People Operations at our Bangalore office, responsible for owning and scaling core People Ops processes across the India entity with a focus on accuracy, compliance, and speed. It owns day-to-day HR operations end-to-end – onboarding, offboarding, employee lifecycle changes, BambooHR data integrity, and India compliance documentation – while partnering closely with Talent Acquisition on hiring coordination and onboarding readiness.
The role plays a key part in maintaining BambooHR as the single source of truth, improving process efficiency, and ensuring audit readiness across BGV, POSH documentation, and statutory record-keeping. It also owns workforce reporting, performance cycle execution in Lattice, and continuous process improvements to enable faster, more consistent execution across US ↔ India coordination.
By owning operational execution with the maturity to operate independently, design SOPs, and resolve ambiguity without escalation – this role reduces operational drag, minimizes risk, and improves data accuracy, enabling HR leadership to focus on more strategic priorities.
Key Responsibilities
HR Operations & Employee Lifecycle
- Own end-to-end onboarding — from offer letter generation to Day 1 readiness: documentation, system setup, kit distribution, IT coordination, ID and access cards, and induction scheduling
- Manage complete offboarding lifecycle: exit documentation, asset recovery, full and final settlement coordination, HRIS deactivation, and alumni communication
- Draft, generate, and manage all employment letters: offer letters, appointment letters, confirmation letters, increment and revision letters, promotion letters, relieving letters, experience letters, and any ad hoc correspondence — with zero errors and same-day SLAs
- Track and close probation reviews, generate confirmation communications, and ensure all documentation is complete and filed correctly in BambooHR
- Coordinate background verification (BGV) end-to-end with external vendors — initiation, follow-up, escalation, and closure; flag any discrepancies to the Head of People immediately
- Manage new joiner asset mapping: laptop allocation, business cards, access cards, ID issuance, and office readiness — coordinated with IT and Admin before Day 1
- Administer employee movement records: transfers, promotions, role changes, and reporting line updates — all reflected accurately and on time across HRIS and all integrated HR platforms
Compensation Structure, Letters & Offer Administration
- Prepare CTC breakdowns and compensation structures for new hires and revised offers — aligned to bands approved by the Head of People
- Generate all compensation and status-change letters with accuracy and speed: salary revision letters, promotion letters, counter-offer letters, transfer letters, role-change letters, and any other formal HR correspondence
- Maintain a structured offer tracker — from offer extended to offer accepted or declined — and flag aging offers to the hiring team immediately
- Support annual compensation review administration: data collation, letter generation, and HRIS updates post review cycle
- Ensure all compensation-related changes are reflected in payroll inputs within the same month they are effective
Insurance, Benefits & Vendor Management
- Own group health insurance (GMC) and group personal accident (GPA) administration: enrolment of new joiners and dependants, mid-year additions and deletions, claim support, and annual renewal coordination with broker and insurer
- Manage life insurance and term insurance policy administration — coordinate with broker or insurer for issuance, nominations, and beneficiary updates
- Onboard and manage all external HR vendors: background verification partners, insurance brokers, travel management companies, engagement and event vendors, and gift and goodies suppliers
- Drive vendor performance against agreed SLAs — escalate delays, flag poor service, and proactively renegotiate or replace vendors where quality is not meeting the bar
- Process and reconcile all vendor invoices in coordination with Finance — ensure timely payments, accurate cost allocation, and vendor payment hygiene
- Manage business travel logistics: approval workflows, booking coordination, advance management, and post travel expense and reimbursement reconciliation
Employee Data Management, HRIS & Platform Integration
- Own BambooHR as the single source of truth for all employee data — zero tolerance for stale, inaccurate, or incomplete records
- Run regular data audits across BambooHR: reporting lines, employment status, compensation data, document uploads, emergency contact information, and position mapping
- Manage integration and data accuracy across all HR platforms — BambooHR, Lattice, Greenhouse, and any other connected people tools — ensuring consistent and up-to-date employee records across systems
- Proactively identify data mismatches between platforms, flag them to the relevant Sr. HRBP or Head of People, and drive resolution within agreed timelines
- Support integration workflows between BambooHR and Lattice for performance cycle accuracy, and between BambooHR and Greenhouse for seamless onboarding data transfer
- Maintain structured employee document repositories: signed offer letters, appointment letters, BGV reports, compliance declarations, PIP documentation, and exit records
Governance, Reporting & HR Analytics
- Build and maintain a comprehensive HR governance calendar — all compliance filings, renewal deadlines, policy review dates, and audit timelines tracked proactively with zero misses
- Prepare and deliver recurring workforce reports on a weekly and monthly cadence: headcount reports (by team, location, and function), attrition reports (voluntary, involuntary, and regretted attrition), tenure distribution, new joiner and exit trackers, and open position reports
- Generate ad hoc workforce reports for the Head of People and senior leadership — high accuracy, same-day or next-day turnaround as a standard
- Maintain a live HR dashboard in Google Sheets or BambooHR reporting covering key people metrics: headcount, attrition rate, average tenure, probation completion rate, and offer acceptance rate
- Support internal and external HR audits — prepare data packs, documentation, and reconciliation reports with accuracy and speed
- Track and report on engagement survey participation, pulse survey results, and R&R program outcomes — present trend analysis to the Head of People on a monthly basis
Employee Engagement & Experience Operations (Extended role)
- Plan and execute monthly and quarterly engagement initiatives, R&R (Rewards and Recognition) programs, team celebrations, and townhalls — end-to-end ownership from concept through execution and post-event wrap-up
- Manage the annual engagement calendar: festivals, milestone celebrations, sports events, offsites, and company wide programs — coordinated with the Head of People
- Curate and manage onboarding kit design, procurement, inventory, and distribution — first impressions matter and this role owns them
- Run pulse surveys: design, distribute, collate responses, and present findings to the Head of People with trend data and actionable insights
- Manage office logistics: supply procurement, stationery, pantry coordination, and vendor management for day-to day office operations at the Bangalore office
POSH Compliance & Working with the Compliance Team
- Ensure full POSH (Prevention of Sexual Harassment) compliance for the Bangalore office: maintain the Internal Committee (IC) roster, support IC meetings, track complaint records, and ensure annual POSH training completion is documented for 100% of employees
- Work closely with the compliance team to manage all statutory HR compliance obligations: Shops and Establishments Act registration and renewals, POSH annual report filing, professional tax registration, and any other labour law requirements applicable to the Bangalore office
- Maintain a live compliance calendar in coordination with the compliance team — proactively track every filing deadline, renewal, and audit requirement with adequate lead time
- Support the compliance team during internal and external audits — prepare all HR-related data packs, documentation, and evidence files with accuracy and within agreed timelines
- Flag emerging compliance risks or regulatory changes in Indian labour law to the Head of People and compliance team as soon as they are identified
Required Skills / Experience
Experience
- 4–7 years of experience in HR Operations, People Ops, or a closely related HR generalist role
- Mandatory: experience in a startup, scale-up, or hyper-growth environment — you have operated without a large team, built things from scratch, and moved at pace
- Hands-on experience with BambooHR (or similar HRIS) — you can navigate, audit, report, and configure without training
- Working knowledge of Lattice or an equivalent performance management tool is a strong plus
- Demonstrated ownership of payroll input preparation, statutory compliance (PF, ESI, TDS, Gratuity), and gratuity fund management
- Experience managing group insurance (GMC/GPA), NPS, and statutory benefits administration
- Solid working knowledge of Indian labour laws: Shops and Establishments Act, POSH Act, Maternity Benefit Act, Payment of Gratuity Act, and applicable wage codes
- Experience managing and coordinating with external HR vendors: BGV partners, insurance brokers, payroll vendors, and engagement/event suppliers
- Demonstrated ability to generate HR reports, maintain people dashboards, and present data-driven insights to leadership
- Experience in a startup, scale-up, or hyper-growth environment – has operated without a large team and moved at pace
- Strong attention to detail with a track record of handling sensitive and confidential information accurately
- Highly organized, with the demonstrated ability to manage multiple workstreams, follow up consistently, and meet deadlines without being chased
- Comfortable operating in a fast-paced environment with a focus on execution, responsiveness, accuracy, and sound judgement under pressure
- Demonstrated ownership of onboarding, offboarding, and employee lifecycle processes end-to-end
- Strong reporting and data tracking experience – advanced Google Sheets / Excel proficiency including pivots, lookups, and data validation
- Strong written and verbal communication, with the ability to coordinate effectively across stakeholders, time zones, and seniority levels
- Demonstrated ownership and reliability, with a proactive approach to completing tasks, designing SOPs, and improving processes over time
- Bachelor's degree in HR, Business Administration, Commerce, or a related field
Technical Skills
- BambooHR — advanced proficiency: employee records, workflows, custom fields, reporting, and data audits
- Lattice — working familiarity with performance review cycles, goal tracking, and data exports
- Greenhouse or equivalent ATS — supporting hiring ops and onboarding coordination
- Google Workspace — Sheets, Docs, Slides, Calendar (used daily); advanced Sheets skills including pivot tables, VLOOKUP, and data validation
