Role Overview
The Senior Operations Executuive Exhibitions is responsible for planning, coordinating, and executing exhibition operations end-to-end. This role ensures seamless event delivery, efficient vendor coordination, and high-quality exhibitor and visitor experience.
Key Responsibilities:
Event Planning & Execution
- Plan and manage all operational aspects of exhibitions and trade shows
- Develop event timelines, layouts, and execution plans
- Ensure smooth on-ground execution during setup, live event, and dismantling
Vendor & Stakeholder Management
- Coordinate with fabricators, logistics partners, AV teams, and venue authorities
- Negotiate contracts and manage vendor performance
- Act as the primary point of contact for exhibitors and partners
Logistics & Site Operations
- Oversee booth setup, branding, signage, and infrastructure
- Manage transportation, warehousing, and material handling
- Ensure compliance with venue guidelines and safety regulations
Team Coordination
- Lead on-ground staff, supervisors, and volunteers
- Assign tasks and monitor team performance during events
- Ensure effective communication across teams
Budget Management
- Plan and track operational budgets
- Control costs and identify optimization opportunities
- Handle billing, invoicing, and vendor payments
Quality & Experience Management
- Ensure high standards of exhibitor and visitor experience
- Troubleshoot real-time issues during events
- Conduct post-event evaluations and reporting
Compliance & Risk Management
- Ensure adherence to safety, legal, and operational standards
- Manage contingency planning and risk mitigation
Required Skills & Qualifications:
- Bachelor's degree in Event Management, Business Administration, or related field
- 36 years of experience in exhibitions, events, or trade shows
- Strong knowledge of event production and exhibition setups
- Excellent vendor management and negotiation skills
- Ability to handle high-pressure, fast-paced environments
- Strong organizational and multitasking abilities
- Proficiency in MS Excel, project management tools, and reporting
