Key Responsibilities:
Reporting & Compliance:
- Submit Monthly Business Reports (MBR) and Monthly Management Reports (MMR) within specified deadlines.
- Ensure timely submission of staff attendance, vendor invoices, and cost sheets to clients and internal teams.
- Maintain trackers for invoices, compliance, and site operations.
- Conduct Quarterly and Annual Business Reviews with clients.
Staff Management:
- Raise requisitions for staffing changes and manage contract renewals.
- Approve attendance and leaves on the Workday portal for site staff.
- Oversee onboarding, handover, and takeover processes for staff transitions.
Operational Duties:
- Conduct daily site rounds and maintain action plans.
- Ensure audits by Subject Matter Experts are completed and reviewed with clients.
- Upload contracts, incident reports, and other documents to relevant technology platforms.
- Manage resident service requests and complaints diplomatically.
- Maintain a site master tracker and daily reporting to Operations Manager.
Communication & Training:
- Respond to all emails within 24 hours.
- Conduct and facilitate training for site staff and service partners.
- Identify operational gaps and propose solutions to clients.
- Maintain a vendor pool and submit proposals to the client for approvals.
Technology & Reporting:
- Implement and manage platforms such as Overview, Evolution, KADence, Compliance Portal, and CMO.
- Prepare a 52-week Planned Preventive Maintenance (PPM) schedule.
- Ensure timely reporting on DMR and PPM data on Evolution.
Emergency & Safety Procedures:
- Conduct bi-annual fire drills and maintain fire & safety equipment.
- Form and manage an Emergency Response Team (ERT) with daily updates.
- Implement manuals, SOPs, and safety plans.
Community & Client Engagement:
- Prepare event calendars and execute engagement activities.
- Implement best practices and revenue generation plans for the site.
- Create and circulate meeting minutes and weekly updates.
