ZTD Project Manager is responsible for enablement of successful project delivery within the Global Manufacturing and Supply (GMS) ZTD portfolio of projects. This role takes ownership of project delivery while providing hands-on PM support for projects within the ZTD GMS portfolio driving successful project execution following PMO and Financial Management policies and processes. ZTD Project Manager is accountable for the coordination of all project-related activities, completeness and accuracy of project plans, status reporting, forecast, and cost tracking. The Project Manager collaborates with Delivery Leads, Solution Partners and engineers as well as ZTD GMS PMO and Finance teams stakeholders to proactively identify and effectively mitigate risks, and timely address issues.
Responsibilities:
- Ensure that the appropriate program governance processes and standards are followed, working closely with the ZTD GMS PMO, ensuring full alignment with ZTD PMO methodologies, governance, tools and templates
- Selecting the appropriate project management methodology is selected for relevant projects (waterfall, agile or hybrid) to ensure optimal delivery outcomes for diverse project types
- Oversee project planning, execution, and delivery of the GMS ZTD Project(s), ensuring timelines, budgets, and quality standards are met.
- Maintenance and control over business requirements document (project scope)
- Development, management and control of the overall milestone and detailed project plan at WBS / task level
- Collaborate with program leadership, organizational leaders, business teams, technical teams, vendors and other stakeholders as appropriate to define and deliver the program.
- Preparation of weekly project status reports
- Establishing the appropriate project meeting cadence (including Agile ceremonies, where appropriate) and running weekly project PMO meetings with all relevant stakeholders
- Facilitate effective communication with stakeholders at all organizational levels
- Anticipate program roadblocks, bottlenecks, respond to changes, escalate issues when needed to the ZTD GMS PMO.
- Risk & issue management, including coordinating the identification, tracking and driving the mitigation of risks and resolution of issues, escalating as required using the appropriate escalation process within the ZTD GMS PMO.
- Manage project financials, including periodic forecasting updates & variance analysis
- Ensure that integration testing, data verification testing, user testing, and other relevant testing activities (e.g., unit or regression testing, if applicable) are executed, with appropriate evidence recorded as required
- Prepare and facilitate compliance stage gate documentation, meetings and relevant approvals
- Detailed cutover planning and cutover plan management collaborate with technical and operational teams to execute seamless cutovers and ensure stability during hypercare
- Hypercare planning and execution where appropriate
- Ensure that a smooth knowledge transfer to BAU operations support is completed in a timely and organized manner, including coordination of documentation, stakeholder training, and system walkthroughs
Stakeholder Collaboration:
- Foster strong relationships to ensure stakeholder alignment on priorities and deliverables that includes, but not limited to: ZTD GMS Leadership, GMS Leadership, Delivery Leads, Implementation Managers, ZTD GMS Business Partners, project team members, implementation partners, key stakeholders from the ZTD GMS PMO & Finance
- Engage with implementation partners to drive accountability and performance within project timelines
Education and Experience:
- Bachelor's degree in business, information systems, or a related field
- PMP certification preferred (or SAFe, Agile Scrum Master)
- Experience in life sciences, including GxP compliance and manufacturing & supply chain complexities preferred
- 5+ years of IT Project Management within structured PMO operations
- Experience in waterfall, agile & hybrid methodologies
Knowledge, Skills, Ability Requirements:
- Detailed understanding of effective scheduling and execution of IT projects
- Experience in pharma (GMS) space (preferred)
- Strong grasp of finance principles including budget forecasting, variance analysis, and financial reporting within IT organizations
- Proven ability to effectively communicate with colleagues at all levels within the organization
- Must be willing and able to work independently and handle simultaneous tasks
- Attention to detail with the ability to view the larger picture
- Consistently model behaviors of accountability and ownership through excellent interpersonal, communication, negotiation, and group facilitation skills
- Ability to tailor communication to technical teams, executives, and end-users
- High level of competency using Microsoft Office suite - Excel, Microsoft Project, PowerPoint, Power BI (or SQL Server Reporting Services) with some experience using Microsoft Project Server and/or other portfolio management tools.
- Agile management tools (e.g. Jira)
