About the Role
We are looking for a hands-on, structured PMO who will serve as the central coordination point for all project-related information across Aetosky's India operations. Based in Jaipur, you will work closely with the Assistant General Manager and regularly travel to project sites across India, Kolkata, Delhi, and wherever our projects take us, to align with delivery teams and government stakeholders on progress, timelines, and budgets.
This is a PMO role - one that demands discipline, structure, and the ability to manage competing priorities across multiple projects simultaneously. You need to be technical enough to understand what the team is building, organised enough to track every moving part, and professional enough to hold your own in a room with senior government users. You will own the flow of project information between the field and leadership, and you will be expected to make sure nothing falls through the cracks.
Key Responsibilities
Project Governance & Reporting
- Maintain a structured PMO framework across all active projects - processes, templates, standards, and cadences
- Consolidate project status across workstreams into a single, reliable view for senior management
- Prepare clear status reports, dashboards, and executive summaries on a regular schedule
- Track delivery against milestones, budgets, P&L and contracted obligations. Flag deviations early
- Own the project calendar - sprint reviews, steering committee meetings, client check-ins, and make sure they happen
Prioritization & Workload Management
- Maintain a clear, live picture of what every team is working on and what is coming next
- Work with delivery leads to prioritize tasks and features across projects when resources are constrained
- Push back on scope additions that are not properly assessed, costed, or approved
- Help the team make good decisions on trade-offs between speed, quality, and scope
- Surface conflicts between projects early and facilitate resolution with stakeholders
Government Stakeholder Management
- Act as a professional point of contact for government users and project counterparts
- Understand how government clients operate. Timelines, approval processes, and communication preferences
- Coordinate regular review meetings with government stakeholders and ensure they are well-prepared and well-documented
- Follow up on open items, pending approvals, and sign-offs in a structured and persistent way
- Manage expectations on both sides. Government users and internal teams, when timelines shift or issues arise
On-Site Alignment
- Travel regularly to project sites across India. Kolkata, Jaipur, Delhi, and other locations where Aetosky has active projects
- Run structured alignment sessions to review progress, resolve blockers, and confirm next steps
- Ensure field teams have clear priorities and understand delivery expectations
- Come back from every site visit with documented actions, owners, and deadlines
- Bridge communication gaps between on-site teams and HQ leadership
Requirements & Technical Breakdown
- Work with project teams and clients to gather, document, and baseline requirements
- Break down complex or ambiguous requirements into clear, sized, and prioritized tasks
- Validate that technical deliverables match agreed requirements before handover or sign-off
- Identify scope creep early and handle it formally, not informally
JIRA & Tooling
- Own JIRA configuration, board setup, and workflow design across all projects
- Ensure all team members are logging work correctly and keeping tickets updated, and follow up when they are not
- Generate regular JIRA-based reports for management reviews and client-facing updates
- Drive consistent use of project management tools and processes across teams
Risk & Issue Management
- Maintain a live risk register across all projects with clear owners and mitigation plans
- Do not wait for problems to surface. Proactively check in on areas of risk
- Escalate blockers that cannot be resolved at the team level quickly and with the right information
- Maintain a structured issues log and track resolution through to closure
What We're Looking For
Must-Have
- 4–7 years of experience in a PMO, delivery management, or project coordination role
- Demonstrated experience working on or alongside government projects in India
- Strong working knowledge of JIRA configuration, workflows, reporting, not just ticket management
- Ability to understand technical requirements and break them into well-defined, prioritized tasks
- Comfortable managing multiple projects simultaneously without losing track of details
- Strong written and verbal communication clear, professional, and appropriate for senior audiences
- Willingness to travel frequently across India. Kolkata, Jaipur, Delhi, and other project locations as needed
Good to Have
- Background in software delivery, geospatial, defense technology, or enterprise IT projects
- Experience with Agile, Scrum, or hybrid delivery methodologies
- Familiarity with tools like Confluence, Microsoft Project, or similar
- PMP, PRINCE2, or similar project management certification
- Experience interfacing with NIC, ISRO, state government agencies, or central government departments
How You'll Work
You will be based in Jaipur and report directly to the Assistant General Manager of Aetosky India. You will have full visibility into all active projects across the India portfolio and will be expected to run the PMO function with minimal hand-holding. Travel happens frequently to Kolkata, Jaipur, Delhi, and wherever our projects are on a structured cadence or as milestones and client requirements demand.
