Job Summary:
The Procurement Executive will be responsible for managing the end-to-end procurement process, including vendor sourcing, quotation management, negotiations, purchase order processing, and compliance with company policies. The role requires strong coordination skills, commercial awareness, and the ability to manage multiple stakeholders in a fast-paced environment.
Key Responsibilities (Applicable Across All Experience Levels):
- Manage the complete procurement lifecycle from requirement to delivery.
- Float RFQs/RFPs and collect quotations from approved vendors.
- Prepare comparative statements and recommend cost-effective no-regret options.
- Negotiate pricing, payment terms, and delivery timelines with vendors.
- Process purchase orders (POs) in line with approvals and budgets.
- Coordinate with finance, legal, and operations teams for timely processing.
- Track order status, deliveries, and resolve discrepancies.
- Maintain vendor database and procurement documentation.
- Ensure compliance with procurement policies and audit requirements.
- Support contract renewals, AMC management, and vendor performance reviews.
Experience-Based Expectations:
- Strong understanding of end-to-end procurement and sourcing processes, including RFQs, quotation analysis, comparative statements, and vendor evaluation.
- Proven experience in PO processing, invoice coordination, and working with ERP/procurement systems and MS Excel.
- Ability to negotiate effectively with vendors to achieve cost optimization, favorable terms, and long-term value.
- Experience managing multiple procurement categories such as IT, Facilities, and Services.
- Working knowledge of contracts, compliance, risk management, and audit requirements.
- Capability to handle high-volume procurement activities and critical timelines efficiently.
- Strong coordination skills to work with cross-functional stakeholders and external vendors.
- Demonstrated leadership in mentoring team members and managing procurement projects.
- Expertise in supplier relationship management, vendor consolidation, and strategic sourcing.
- Sound commercial and financial acumen to drive cost savings and business value.
- Experience in developing procurement policies, procedures, and governance frameworks.
- Ability to prepare MIS, dashboards, reports, and presentations for management and leadership.
- Strong communication, documentation, and stakeholder management skills.
