Role Description

The Process Coordinator will be responsible for monitoring and optimizing business processes, coordinating projects, ensuring quality compliance, and facilitating communication across teams to achieve operational efficiency. This is a full-time, on-site role based in New Delhi. The role also involves analyzing workflows, identifying areas for improvement, and implementing effective solutions.

Qualifications

  • Proficiency in Analytical Skills and Business Process Improvement
  • Experience with Project Management and adeptness in planning and executing tasks
  • Strong Communication skills to coordinate effectively across teams
  • Knowledge of Quality Management processes and practices
  • Proactive problem-solving abilities and strong attention to detail
  • Bachelor's degree in Business Management, Operations, or a related field
  • Previous experience in retail, fashion industry, or operations management is a plus

1. Designer Documentation Management

  • Collect, verify, and maintain all designer documentation, including:
  • Proforma Invoices (PIs)
  • MOUs / Agreements
  • GST Certificates
  • TDS Declaration Letters
  • Ensure timely follow-ups and confirmations from designers
  • Maintain updated and accurate designer documentation trackers
  • Ensure all documentation is properly archived and audit-ready

2. Payment & Commission Tracking

  • Track designer payments, commissions, and settlements
  • Prepare and maintain detailed commission reports
  • Coordinate with the Accounts team to monitor payment status and closures
  • Ensure timely reconciliation of outstanding payments

3. Tax & Compliance Coordination

  • Manage rental and commission tax invoices
  • Coordinate TDS reconciliation with the Accounts team
  • Ensure GST compliance in coordination with designers and hotels
  • Collect, verify, and organize GST-related documentation
  • Support statutory and audit requirements related to compliance

4. Tracker Maintenance & Process Control

  • Maintain accurate trackers for:
  • Designer documentation
  • Payments & commissions
  • GST & TDS compliance
  • Ensure high levels of data accuracy and version control
  • Improve tracking systems for better visibility and reporting
  • Maintain process discipline and documentation standards

5. Cross-Team Coordination & Administrative Support

  • Coordinate effectively with Merchandising, Accounts, Events, and Hotels
  • Support audit and finance documentation requirements
  • Handle related administrative and process tasks as assigned
  • Ensure smooth inter-departmental communication and workflow management
