Job Description

Job Title: Personal Assistant to MD

Company: Percept Limited

Location: Mumbai

Percept Limited is looking for a smart, proactive and highly organized Personal Assistant. The role requires strong coordination skills, attention to detail and the ability to handle multiple priorities in a fast-paced environment.

Key Responsibilities

1. Executive Support

  • Manage the MD's calendar, appointments, meetings, and travel schedules.
  • Screen and prioritize emails, calls, and correspondence on behalf of the MD.
  • Prepare meeting agendas, presentations, and briefing documents.
  • Regular updation of contact information of his contacts.

2. Coordination & Communication

  • Schedule internal and external meetings for the MD with clients, external stakeholders and internal teams.
  • Prepare meeting agendas, presentations, and briefing notes.
  • Take minutes of meetings and track follow-ups with relevant teams.
  • Assist in coordinating the MD's involvement in events, client meetings, and industry forums.
  • Coordinate and ensure the distribution of passes to all the guests as per the approved list for our events.

3. Administrative Management

  • Maintain organized records, files, and documents.
  • Prepare reports, presentations, and business correspondence.
  • Manage travel and hotel bookings, itineraries for domestic and international tours and submit the expense reports to the Accounts department on timely basis.

4. Confidentiality & Discretion

  • Handle confidential and sensitive information with the highest level of discretion.
  • Maintain professionalism while dealing with internal and external stakeholders.

5. Project & Task Management

  • Assist the MD in tracking strategic projects and priorities.
  • Coordinate with teams to ensure timely completion of tasks assigned by the MD.

Qualifications

  • Bachelor's degree in Business Administration, Management, or related field.
  • 3–10 years of experience as a Personal Assistant / Executive Assistant to senior leadership.

Preferred Experience

  • Experience working with senior executives or leadership teams.
  • Experience in corporate, media, marketing, or event management environments.
