ABOUT THE ROLE

We are seeking an experiencedOperations Managerto join Infinite Labs Digital and lead day-to-day operations fora Leading Sports Nutrition Brand, a high-performance supplement brand in the e-commerce space. This is a pivotal role that sits at the intersection of business operations, team coordination, and executive support.

You will be the operational backbone of a Leading Sports Nutrition Brandmanaging vendor relationships, coordinating with our 3PL warehouse, overseeing order fulfillment, handling customer issues, and serving as a critical executive assistant to our Founder/CEO. This role requires someone who can wear multiple hats, think strategically, and execute operationally with excellence.

PRIMARY RESPONSIBILITIES Operations & Fulfillment Management

  • Oversee day-to-day operations across all sales channels (Shopify, Amazon, direct-to-consumer)
  • Coordinate with our third-party logistics (3PL) warehouse partner for inventory management, order fulfillment, and shipments
  • Monitor order flow, fulfillment timelines, and shipping metrics across platforms
  • Identify and resolve operational bottlenecks, delays, and fulfillment issues
  • Track inventory levels, stock-outs, and reorder points across SKUs
  • Manage returns, exchanges, and customer fulfillment-related problems
  • Generate weekly/monthly operational reports on fulfillment performance and KPIs

Vendor & Supplier Management

  • Build and maintain relationships with 3PL providers, shipping carriers, and other key vendors
  • Negotiate terms, manage contracts, and track vendor performance
  • Resolve vendor issues promptly and escalate when necessary
  • Coordinate with suppliers on product shipments, quality control, and delivery timelines
  • Track vendor SLAs and hold partners accountable to performance metrics

Customer Service & Issue Resolution

  • Oversee customer-facing operational issues (shipping delays, damaged packages, order errors)
  • Escalate complex customer problems and coordinate resolution with appropriate teams
  • Monitor customer feedback and identify operational improvements
  • Ensure customer satisfaction by addressing operational pain points

Team Coordination & Cross-Functional Communication

  • Act as the operational hub connecting marketing, fulfillment, customer service, finance, and executive teams
  • Manage communication across departments and ensure alignment on priorities
  • Coordinate with finance/accounting teams on inventory valuation and operational metrics
  • Support team members with operational decisions and process improvements
  • Identify process inefficiencies and recommend solutions

Executive Support & Calendar Management

  • Manage the Founder/CEO's calendar, schedule meetings, and coordinate availability
  • Prepare meeting agendas, background materials, and action item summaries
  • Track action items from meetings and ensure follow-up
  • Assist with strategic operational planning and business reviews
  • Provide the Founder/CEO with critical operational updates and metrics daily/weekly

Systems & Tools Management

  • Manage and optimize operations across Shopify, Amazon, CIN7,Monday.com, Slack, and QuickBooks
  • Ensure data accuracy across all platforms and systems
  • Create operational dashboards and reports inMonday.comfor visibility
  • Troubleshoot system issues and coordinate with technical support as needed
  • Identify opportunities to automate or streamline workflows
  • Train team members on operational tools and best practices

Process Development & Continuous Improvement

  • Document operational processes and standard operating procedures (SOPs)
  • Identify bottlenecks and opportunities for efficiency gains
  • Implement process improvements and track results
  • Build scalable systems that can handle growth
  • Recommend operational investments and resources needed for growth

REQUIRED QUALIFICATIONSExperience

  • Minimum 5+ yearsof e-commerce operations, warehouse/fulfillment management, or supply chain experience
  • Proven experience managing 3PL or warehouse operations
  • Track record coordinating multi-channel sales (Shopify, Amazon, or similar platforms)
  • Experience managing small teams (3-5 members) or cross-functional stakeholder groups
  • Executive assistant or high-level operations coordinator experience is a plus

Technical Skills

  • Proficiency required:Shopify, Amazon Seller Central, CIN7 (or similar inventory management systems)
  • Proficiency required:Monday.com, Slack, QuickBooks (or similar accounting software)
  • Strong Excel/Google Sheets skills for data analysis and reporting
  • Comfortable learning new tools and platforms quickly
  • Experience with operational reporting, dashboards, and KPI tracking

  • Experience in the supplement, nutrition, or health/wellness industry
  • Knowledge of e-commerce compliance (multi-state sales tax, shipping regulations)
  • Experience with data analysis and operational KPI development
  • Familiarity with integration tools or workflow automation
  • Experience scaling operations from startup to high-growth stages
