Job Summary
We are looking for a detail-oriented and proactive Operations Associate to manage end-to-end operations, including inventory control, vendor coordination, imports, catalog accuracy, and financial reconciliations. This role requires strong ownership, cross-functional collaboration, and the ability to manage multiple operational workflows in a fast-paced environment.
Key Responsibilities
- Inventory Management
- Maintain accurate stock levels across warehouses and systems.
- Track stock movement (inbound/outbound) and update records in real time.
- Coordinate with warehouse teams for GRN, stock audits, and discrepancies.
- Monitor low-stock alerts and initiate timely purchase orders.
- Vendor Coordination & Purchase Cycle
- Manage vendor communication for POs, delivery timelines..
- Ensure timely receipt of goods, documents, and invoices.
- Follow up for confirmations, dispatch details, and compliance documents.
- Maintain vendor master data and update agreements/terms.
- Overseas Import & Shipment Handling
- Coordinate with international suppliers, freight forwarders, and customs agents.
- Track shipment status end-to-end: booking → pick-up → transit → customs clearance → final delivery.
- Prepare and verify import documentation (invoice, packing list, BL/AWB, COO, etc.).
- Ensure timely duty payments and clearance to avoid demurrage.
- Work with finance for payment scheduling against milestones.
- Reconciliation & Reporting
- Reconcile PO vs GRN vs Invoice discrepancies.
- Follow up with vendors/warehouse/finance to close mismatches.
- Maintain monthly reconciliation reports and dashboards.
- Support internal/external audits with required documentation.
- Catalog Management
- Maintain and update SKU master data: descriptions, pricing, pack sizes, vendor codes, etc.
- Coordinate with Marketing, Sales, and Tech teams for catalog updates.
- Ensure accuracy and consistency across platforms and internal systems.
- Conduct periodic catalog hygiene checks.
- Invoicing & Payment Coordination
- Verify vendor invoices for quantity, rate, and tax accuracy.
- Submit invoices to finance with all supporting documents.
- Track invoice status until payment completion.
- Handle queries from vendors or finance regarding payments.
Qualifications (Please Apply Only If You Meet These Requirements)
- 1–2 years of experience in operations, procurement, or supply chain roles.
- Strong communication and stakeholder management skills
- Ability to build long-term vendor and cross-functional relationships.
- Intrepreneurial mindset – proactive, adaptable, and execution-focused.
- Strong proficiency in G Suite / Google Sheets with a typing speed of 55+ WPM
Bonus Skills
- Knowledge of sports equipment, tennis, badminton, or other racket sports.
- Experience with international logistics, freight forwarders, and customs processes.
- Ability to analyze cost efficiencies across vendors, shipments, and inventory.
- Experience in SKU rationalization and catalog structuring.
- Capability to work in fast-paced, multi-stakeholder supply chain environments.
- Strong problem-solving skills, especially for shipment delays, document gaps, and mismatches.
