About the Role
We're looking for a proactive and detail-oriented Office Manager to be the backbone of our day-to-day operations. You'll ensure our workspace is a place where people love to work — organized, welcoming, well-stocked, and running smoothly. This is a hands-on role that sits at the heart of the company and touches nearly every team.
What You'll Do
Office Operations & Facilities
- Oversee the day-to-day running of the office, ensuring a clean, safe, and well-organized environment
- Manage relationships with building management, landlords, and facility service providers
- Coordinate office maintenance, repairs, and equipment servicing
- Manage office supply inventory and procurement — keep things stocked without over-ordering
- Own the office seating plan, desk allocations, and workspace setup for new hires
- Plan and manage office moves, expansions, or refurbishments as the company grows
Business Analytics & Strategic Intelligence
- Conduct comprehensive Go-To-Market (GTM) analysis — evaluating market entry strategies, channel effectiveness, pricing models, and customer segmentation to support product and revenue decisions
- Lead competitive intelligence efforts — systematically tracking competitor positioning, product offerings, pricing, partnerships, and market movements to inform executive strategy
- Build and maintain a competitive landscape database — synthesizing insights into actionable strategic briefs for leadership
- Analyze market sizing, TAM/SAM/SOM, and demand trends to identify growth opportunities and prioritize expansion initiatives
- Support strategic planning cycles — contributing data-backed inputs to annual planning, OKR setting, and business reviews
- Develop investor-ready analyses and market research decks that articulate Basil Health's competitive differentiation and strategic positioning
- Partner with Product, Sales, and Marketing teams to evaluate go-to-market experiments, measure outcomes, and iterate on strategy
- Monitor the global neurotech and digital wellness landscape — identifying emerging players, technology shifts, regulatory changes, and partnership opportunities
- Translate market and competitive findings into clear executive recommendations — not just data, but a point of view
Vendor & Contract Management
- Source, negotiate, and manage vendor contracts (cleaning, catering, courier, IT hardware, etc.)
- Track and process invoices, coordinate with Finance for timely payments
Health, Safety & Compliance
- Ensure the office complies with local health and safety regulations
- Conduct periodic safety audits and maintain emergency procedures
- Manage access control, visitor management, and security protocols
Employee Experience & Culture
- Organize office events, team lunches, celebrations, and culture initiatives
- Serve as the go-to person for day-to-day employee needs and office-related requests
- Support onboarding logistics for new joiners — desk setup, access cards, welcome kits
Administrative Support
- Manage incoming/outgoing mail, courier services, and deliveries
- Support leadership with scheduling, travel bookings, and logistics when needed
- Maintain office documentation, policies, and process guides
What We're Looking For
- MBA or Bachelor's degree in Business Administration, Strategy, Finance, Marketing, or a related discipline — MBA strongly preferred
- 3–5 years of progressive experience in business analytics, corporate strategy, management consulting, market research, or a related field — startup or tech environment preferred
- Demonstrated experience conducting GTM analysis, competitive intelligence, and market research with tangible business impact
- 3–5 years of experience in an office management or operations role, preferably in a startup or fast-paced tech environment
- Strong organizational skills with a knack for juggling multiple priorities without dropping the ball
- Excellent communication and interpersonal skills — you're approachable, clear, and people trust you
- Proven experience managing vendor relationships and negotiating contracts
- Comfortable working independently and making decisions without constant oversight
- Proficiency with Google Workspace, Teams, and office management or ticketing tools
- A proactive, problem-solving mindset — you notice what needs fixing before anyone else does
- High attention to detail with a strong sense of ownership
Nice to Have
- Experience supporting Ops functions (onboarding, employee engagement)
- Familiarity with basic budgeting or expense tracking
- Prior exposure to workplace health & safety standards
- Experience in planning and executing company events
