Jewellery Production Coordinator – Diamond Jewellery Industry

Job Overview:
The Jewellery Production Coordinator will be responsible for managing and overseeing the entire order processing cycle, from receiving orders to coordinating production, ensuring stock accuracy, and liaising with various departments to ensure timely and error-free completion of each order. The role requires close coordination with the design, diamond procurement, accounts, stock, and sales teams to ensure that the production process is efficient and meets the company's quality standards. This position also involves managing communications with vendors and providing regular updates to the management.
Key Responsibilities:
1. Order Management:
· Receive and review new customer orders.
· Seek management approval for the order processing.
· Verify the availability of raw materials, such as diamonds and gold, required for production.
· Enter the order details, including design and materials, into the software system.
2. Stock Coordination:
· Coordinate with the diamond procurement team to ensure the availability of the required diamonds for each order.
· Prepare and submit the order processing format, including stock details, for management approval.
· Collaborate with the accounts team to ensure all order stock details are accurately updated in the system software.
3. Vendor Coordination:
· Coordinate with the production vendors by providing them with the approved order format.
· Liaise with the accounts, stock, and dispatch departments to ensure that the raw materials required for production are sent to the vendor team in a timely manner.
· Regularly follow up with the vendor production team for updates on production progress and product dispatch timelines.
4. Quality Control & Discrepancy Handling:
· Upon receipt of the manufactured products, cross-check the items against the order form and system details, ensuring accuracy.
· If there are any discrepancies in the manufacturing of the product, report the issue to the management, vendor, and accounts team.
· Coordinate with the vendor to rectify any disparities, ensuring the product is corrected and returned within the required timeline.
· Follow up until the corrections are completed and the product is re-received.
5. Sales Team Coordination:
· Once the production process is complete and verified, update the sales team to notify the customer that their order is ready.
· Provide regular updates to the sales team and assist the CRM team in managing sales-related data in the CRM software.
6. Stock Management:
· Coordinate with the accounts and stock departments to ensure that all manufactured products are accurately recorded and updated in the stock register upon receipt.
· Ensure proper documentation and record-keeping of all stock entries and orders.
7. Interdepartmental Communication:
· Maintain daily communication with the sales, vendor manufacturing, accounts, and stock teams through messaging, emails, and other communication channels.
· Ensure smooth coordination between departments to prevent errors and delays in the production process.
8. Process Monitoring:
· Oversee the entire production process to ensure it is error-free and operates smoothly across all departments involved.
· Regularly follow up with the sales team, obtaining updates on their daily activities, and updating the CRM with relevant information.
· Assist the CRM team with sales updates and ensure that all necessary information is captured accurately in the system.
Required Skills and Qualifications:
· Strong organizational and time-management skills.
· Excellent communication and coordination abilities.
· Proficient in ERP and CRM software for tracking orders and stock.
· Knowledge of jewellery production processes and materials such as diamonds and gold.
· Problem-solving skills, especially in managing discrepancies and vendor relations.
· Ability to multitask and handle multiple responsibilities efficiently.
