Xploreteq is a Pune-based technology and cybersecurity company working with organisations across cybersecurity products, consulting, implementation, managed services, data protection and emerging technology solutions.

As we continue to grow, we are looking for a capable and hands-on Senior HR & Administration Executive / Assistant Manager – HR & Admin who can take ownership of our people operations as well as day-to-day office administration.

This role is suitable for someone who enjoys working in a growing organisation where HR is expected to be practical, responsive, employee-focused and closely connected with the business.

Role Overview

The person will be responsible for managing the complete employee lifecycle—from recruitment and onboarding to HR operations, engagement, performance coordination and exit processes—along with overseeing key administrative activities for our Pune office.

We are looking for someone who can work independently, establish processes where required, maintain discipline and documentation, and at the same time create a positive employee experience.

Key Responsibilities

Talent Acquisition & Onboarding

  • Manage recruitment requirements across technical, sales, operations and support functions.
  • Coordinate with hiring managers to understand manpower requirements and job specifications.
  • Source candidates through job portals, LinkedIn, recruitment consultants, referrals and other channels.
  • Screen profiles, conduct initial HR discussions and coordinate interview processes.
  • Manage offer rollouts, salary discussions, documentation and joining formalities.
  • Conduct structured onboarding and induction for new employees.
  • Maintain an active talent pipeline for recurring and critical positions.

HR Operations

  • Manage employee records, HR documentation and personnel files.
  • Maintain attendance, leave and employee information records.
  • Coordinate payroll inputs, salary revisions, incentives, reimbursements and related documentation with the accounts/payroll team.
  • Prepare offer letters, appointment letters, confirmation letters, increment letters, relieving letters and other employee-related documentation.
  • Manage probation, confirmation, transfers and separation processes.
  • Handle employee queries related to HR policies, leave, attendance, compensation and workplace matters.
  • Maintain HR MIS and provide periodic reports to management.

Performance & Employee Development

  • Coordinate periodic performance review and appraisal processes.
  • Work with managers to ensure employee goals and KRAs/KPIs are clearly documented.
  • Track probation reviews, performance discussions and development requirements.
  • Support identification and coordination of employee training and development initiatives.
  • Help managers address performance and employee-related issues in a timely and structured manner.

Employee Engagement & Culture

  • Act as an approachable point of contact for employees.
  • Plan and coordinate employee engagement activities, celebrations, team events and internal initiatives.
  • Support management in building a professional, collaborative and performance-oriented workplace culture.
  • Conduct periodic employee feedback and engagement conversations.
  • Assist in employee retention initiatives and resolution of workplace concerns.

HR Policies & Compliance

  • Maintain and periodically update HR policies, employee handbook and internal HR processes.
  • Ensure adherence to organisational policies and applicable employment-related statutory requirements.
  • Coordinate documentation related to PF, ESIC, Professional Tax and other statutory requirements, wherever applicable.
  • Support management and external consultants with labour-law and HR compliance requirements.
  • Maintain confidentiality of employee and company information.

Office Administration

  • Oversee day-to-day administration of the Pune office.
  • Coordinate office infrastructure, facilities, housekeeping, security and maintenance requirements.
  • Manage office vendors and service providers.
  • Coordinate procurement of office supplies, equipment and other administrative requirements.
  • Maintain records of company assets issued to employees, including laptops and other equipment.
  • Coordinate employee travel, accommodation and related arrangements when required.
  • Assist leadership with administrative requirements and internal coordination.
  • Ensure the workplace remains organised, professional, safe and employee-friendly.

Ideal Candidate Profile

We would like to meet someone who:

  • Has approximately 5–8 years of experience in HR and administration, preferably in an IT, cybersecurity, technology, services or SME environment.
  • Has independently handled HR operations rather than working only within one specialised HR function.
  • Has good exposure to recruitment and employee lifecycle management.
  • Understands payroll coordination, attendance, leave, employee documentation and basic statutory HR compliance.
  • Is comfortable managing office administration alongside HR responsibilities.
  • Can interact confidently with employees, managers, vendors and senior management.
  • Has strong organisational and follow-up skills.
  • Is practical, dependable and comfortable taking ownership.
  • Can work effectively in a growing organisation where processes may continue to evolve.
  • Has good written and verbal communication skills.
  • Is proficient with MS Office / Google Workspace and comfortable working with HRMS or other HR tools.

Educational Qualification

  • Graduate degree in any discipline.
  • MBA / PGDM / postgraduate qualification in Human Resources will be preferred but is not mandatory for candidates with strong relevant experience.

Reporting
