Job Summary
Zennsoft India Private Limited is looking for a dynamic and highly organized Human Resource Generalist to manage end-to-end HR operations and office administration. The role requires ownership of the complete employee lifecyclefrom talent sourcing and recruitment to onboarding, employee engagement, and offboardingwhile ensuring proper implementation of HR policies, compliance, payroll coordination, attendance management, and administrative support for smooth office operations.
The HR Generalist will work closely with leadership to support the company's operational and staffing needs, particularly aligned with US business hours.
Key Roles & ResponsibilitiesTalent Acquisition & Recruitment
- Manage the full recruitment lifecycle including sourcing, screening, interviewing coordination, and hiring.
- Source candidates through job portals, social media platforms, referrals, and recruitment databases.
- Coordinate interviews with department heads and hiring managers.
- Maintain a pipeline of qualified candidates for current and future hiring needs.
- Manage recruitment trackers and candidate databases.
Onboarding & Employee Lifecycle Management
- Handle the complete onboarding process including documentation, employee records, and orientation.
- Issue offer letters, appointment letters, and employment contracts.
- Coordinate induction sessions for new employees.
- Manage employee lifecycle activities including promotions, role changes, confirmations, and exits.
- Conduct exit interviews and ensure proper offboarding and clearance procedures.
HR Policies & Compliance
- Implement and enforce company HR policies, employee handbook, and code of conduct.
- Ensure employees comply with organizational policies and procedures.
- Assist in updating HR policies and processes when required.
- Ensure adherence to applicable labor laws and company compliance standards.
Leave & Attendance Management
- Manage employee leave records as per company leave policies.
- Track daily attendance and maintain attendance records.
- Address attendance-related discrepancies and employee queries.
- Generate attendance and leave reports for payroll processing.
Payroll Coordination & HR Documentation
- Coordinate payroll data including attendance, leave records, incentives, and deductions.
- Assist the finance team in ensuring accurate and timely payroll processing.
- Maintain employee files and HR records in both physical and digital formats.
- Ensure proper documentation and compliance for employee records.
Offer Letter & HR Documentation Management
- Prepare, review, and issue offer letters and employment-related documents.
- Maintain proper documentation of employee agreements, performance reviews, and HR communications.
- Ensure confidentiality and proper handling of sensitive employee information.
Office Administration & Expense Tracking
- Maintain records of office operational expenses.
- Track office supplies, equipment, and consumables to ensure timely replenishment.
- Coordinate with vendors and suppliers for office requirements.
- Support general office administration to ensure smooth daily operations.
Employee Engagement & Workplace Support
- Serve as a point of contact for employee HR-related queries and concerns.
- Assist in organizing employee engagement activities and internal events.
- Support employee welfare initiatives and maintain a positive work environment.
HR Reporting & MIS
- Prepare HR reports related to recruitment, attendance, attrition, and employee performance.
- Maintain HR dashboards and provide insights to management when required.
- Support management with workforce planning and HR analytics.
Required Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field (MBA/PGDM in HR preferred).
- 25 years of experience in HR operations, recruitment, or HR generalist roles.
- Strong understanding of HR policies, employee lifecycle management, and HR compliance.
- Experience with payroll coordination, attendance management, and HR documentation.
- Excellent communication, interpersonal, and organizational skills.
- Ability to handle confidential information with professionalism.
Preferred Skills
- Experience in IT services, consulting, or staffing organizations.
- Familiarity with US staffing or working with US-based teams is an advantage.
- Strong multitasking ability and capability to work in a fast-paced environment.
- Proficiency in MS Office tools (Excel, Word, and HR tracking systems).
