About the Role
DriveX is seeking a dynamic, experienced Head of Facilities & Administration to architect and scale our workplace infrastructure,
vendor ecosystem, and administrative operations across all DriveX locations spanning in KA & TN. This role is a strategic cornerstone
of our internal operations and reports directly to senior leadership. Beyond operational excellence, this leader must be a persuasive
communicator and skilled negotiator — someone who can align leadership teams, influence strategic decisions, and drive outcomes
across stakeholder levels.
Key Responsibilities
- Facilities Management
- Oversee end-to-end facility operations across all DriveX offices, service centers, Showrooms and warehouses spanning
Karnataka and Tamil Nadu.
- Plan, execute, and monitor office expansions, fit-outs, and relocations with full project ownership from scoping to handover.
- Ensure compliance with safety, regulatory, and statutory requirements across all state jurisdictions in South India — including
state-specific fire safety norms, factory licenses, PCB requirements, and BBMP / local body regulations.
- Drive facility audits, maintenance schedules, and helpdesk SLAs across the network.
- Manage AMC contracts, MEP systems, and infrastructure upkeep with lifecycle planning.
- Project Management & CAPEX Reporting
- Own end-to-end project management for all upcoming facility and infrastructure projects — from feasibility through
commissioning
- Prepare structured, data-driven Project Management Reports (PMRs) covering scope, timelines, milestones, risk register,
and budget tracking for each project
- Develop detailed CAPEX proposals for new site setups, renovations, and technology integrations — including cost-benefit
analysis, ROI projections, payback periods, and sensitivity analysis
- Maintain a forward-looking CAPEX pipeline report aligned to DriveX's growth roadmap across South India, updated on a
monthly and quarterly basis for leadership review
- Track and report on CAPEX vs. actual spend with variance analysis and corrective action plans
- Collaborate with Finance to align capital expenditure proposals with annual budgeting cycles and board-level reporting
Requirements
- Leverage local market intelligence — real estate rates, construction costs, contractor ecosystems across South India
geographies — to sharpen project cost estimation and negotiation
- Negotiation & Leadership Influence
- Lead high-stakes negotiations with landlords, contractors, MEP vendors, fit-out agencies, and service providers — securing
commercially advantageous terms without compromising quality or timelines
- Develop compelling business cases with quantified outcomes (cost savings, efficiency gains, risk mitigation) to influence and
convince the leadership team on strategic facility and admin investments
- Proactively engage C-suite and function heads to align on facilities strategy, presenting insights and recommendations with
confidence and executive gravitas
- Navigate complex multi-party negotiations across South India markets — understanding regional pricing benchmarks, local
contractor dynamics, and state-specific commercial real estate norms
- Build long-term, trust-based relationships with key vendors and government stakeholders to secure strategic advantages for
DriveX
- Administration & Operations
- Lead administration functions including travel, fleet, housekeeping, and security across all operational sites
- Drive procurement and contract management for all admin vendors and services with rigorous SLA governance
- Manage budgets, forecast spends, and optimize operational costs — with clear variance reporting to leadership
- Establish and enforce SOPs, governance frameworks, and audit readiness across the network
- Liaise with government authorities, statutory bodies, and local offices across Karnataka & Tamil Nadu,
- Execute lease & Rental agreements along with registration
- People & Stakeholder Management
- Lead a team of admin executives, facility officers, and support staff
- Define KPIs, conduct performance reviews, and build team capability for scale
- Collaborate with HR, Finance, IT, and Business teams on cross-functional initiatives
- Own employee experience touchpoints — pantry, seating, events, and engagement.
Requirements
Qualifications & Experience
- Graduate in any discipline; MBA / PG in Operations or Management preferred
- Minimum 12 years in Facilities, Admin, or Corporate Services roles
- Proven multi-location experience across South India; deep familiarity with real estate, regulatory, and contractor ecosystems
across South Indian states
- Demonstrated experience preparing CAPEX reports, project budgets, and cost-benefit presentations for leadership / board
approval
- Open to travel to KA & TN regions at the time of an expansion.
- Track record of high-value contract negotiations with landlords, vendors, and service providers — delivering measurable
cost savings
- Managed multi-crore admin and facilities budgets with clear accountability for variance and optimization
- Industry Background prior exposure to automotive, retail, logistics, or tech-enabled businesses is a strong advantage
