Role Overview: The Front Office Executive plays a crucial role in managing the day-to-day operations of the front office. This position is responsible for ensuring smooth and efficient functioning, creating a welcoming environment for clients and visitors, and maintaining effective communication channels. The Front Office Executive will liaise with various departments and external parties to ensure optimal service delivery.
Key Responsibilities
- Keep accurate records of daily activities, visitor logs, and other essential documentation to ensure seamless operation
- Oversee and manage visitor management systems to maintain security and an organized entry process for all guest
- Greet and assist clients during their visits, ensuring they have a positive and professional experience
- Manage and standardize the use of letterheads for official correspondence, ensuring consistency and professionalism in all communication
- Handle incoming calls, provide relevant information, and relay messages accurately to the appropriate departments or individual
- Issue, monitor, and maintain access cards for employees and visitors, ensuring proper access control and security
- Manage the process of granting and revoking access permissions as needed, ensuring compliance with security protocol
- Oversee the receipt and dispatch of courier services, ensuring timely and accurate delivery of packages and document
- Regularly review and update all front office registers to ensure accuracy and compliance with organizational policy
- Provide support and assistance to visitors and clients, addressing their queries and ensuring a pleasant experience
- Work closely with building security personnel to facilitate smooth entry for visitors and ensure adherence to security protocol
