Key Responsibilities
Front Desk Management
- Maintain a clean, organized, and professional reception area at all times
- Greet and assist walk-in visitors, clients, customers, and employees with courtesy and professionalism
- Ensure all incoming calls are answered within 3 rings and routed appropriately or directed to voicemail when necessary
- Handle internal and external calls with proper telephone etiquette
Visitor & Guest Handling
- Record visitor details accurately in daily visitor registers
- Inform respective hosts promptly about visitor arrivals
- Prepare and share end-of-shift visitor reports
- Manage guest relations including coordination of transport and presentations
Meeting & Facility Coordination
- Book and manage meeting rooms, conference rooms, and training rooms
- Maintain calendars for all room bookings and ensure optimal scheduling
- Track no-show reports for meetings and training sessions
- Maintain updated equipment sheets and share reports with BMS and Technical teams
Coordination & Support Functions
- Coordinate with BMS team for equipment setup and maintenance requirements (excluding VC setups)
- Support Technology team for video conferencing (VC) arrangements
- Maintain updated extension lists and vendor contact lists for smooth operations
- Assist in maintaining front desk operational reports
Additional Responsibilities
- Manage guest house bookings as per requirement
- Provide backup support to the helpdesk team when needed
- Ensure confidentiality of sensitive organizational and visitor information
- Support smooth administrative functioning in a fast-paced environment
