Key Responsibilities
Front Desk Operations & Guest Experience
- Manage the front desk as a key point of contact for visitors, clients, and employees
- Welcome and guide visitors with a warm, professional, and courteous approach
- Ensure the front desk reflects a strong and positive first impression of the organization
- Maintain a professional appearance and behaviour at all times
Communication Management
- Handle all incoming and outgoing calls efficiently and professionally
- Ensure proper call routing and distribution to respective departments
- Maintain telephone etiquette with politeness and clarity in communication
Administrative & Record Management
- Maintain and update records such as telephone registers, call tracking logs, and client contact databases
- Perform general administrative and helpdesk-related tasks
- Support documentation, filing, and basic office coordination activities
- Contribute to maintaining accuracy in daily front office records
Front Office Improvement & Maintenance
- Continuously identify improvements to enhance front office operations
- Ensure reception area is well-maintained, organized, and updated
- Arrange and display latest magazines, newspapers, and reading materials in the reception area
Reporting & Compliance
- Contribute to monthly management reports for clients
- Ensure all front office activities comply with company policies and regulations
- Participate in emergency evacuation procedures and safety drills
Coordination & Additional Support
- Support management of conference rooms, meetings, and events
- Assist with coordination of flower arrangements and hospitality requirements
- Develop and follow procedures for smooth front desk functioning
- Assist in general administrative and facility support tasks as required
