Role Overview

The Front Office Executive (FOE) serves as the first point of contact for all visitors and employees, ensuring a professional and welcoming front office experience. This role manages reception operations, visitor handling, and helpdesk coordination while maintaining high service standards and efficient communication.

Key Responsibilities

  • Manage front desk operations, including greeting visitors and handling inquiries professionally
  • Oversee visitor management: registration, badge issuance, and access coordination
  • Handle incoming calls, emails, and walk-in requests, ensuring prompt resolution or escalation
  • Maintain reception area standards, ensuring cleanliness and organization at all times
  • Coordinate meeting room bookings, scheduling, and readiness
  • Support corporate events by assisting with guest coordination and logistics
  • Maintain records of visitors, calls, and front office activities

Helpdesk & Ticket Management

  • Log, track, and manage service requests through the helpdesk/ticketing system
  • Ensure timely closure of tickets in line with defined SLAs
  • Coordinate with housekeeping, IT, admin, and maintenance teams for issue resolution
  • Provide regular updates to users on ticket status and expected resolution timelines
  • Escalate critical issues to relevant stakeholders as required

Client & Employee Interaction

  • Act as a central communication point for employees and external visitors
  • Ensure high levels of customer service and satisfaction
  • Handle complaints or concerns with professionalism and efficiency
  • Maintain confidentiality and adhere to company policies

Key Skills & Competencies

  • Excellent communication and interpersonal skills
  • Strong customer service orientation
  • Ability to multitask and manage high footfall environments
  • Basic knowledge of helpdesk systems and MS Office
  • Professional appearance and demeanor

Qualifications & Experience

  • Bachelor's degree or equivalent
  • 1–3 years of experience in front office/reception or customer service roles
  • Experience in corporate office environments preferred
