Role Description

This is a full-time, on-site role for a Front Desk Executive at our Kochi location. The primary responsibilities include welcoming visitors, answering and directing phone calls, scheduling appointments, and managing front desk operations. The role also involves addressing customer inquiries, maintaining a professional and organized reception area, and supporting the administrative tasks of the school. Representing the first point of contact for students, parents, and visitors, the Front Desk Executive is essential to ensuring exceptional customer service and smooth operational workflow.

Qualifications

  • Strong interpersonal skills and the ability to create a welcoming atmosphere
  • Excellent phone etiquette and ability to manage reception duties professionally
  • Proficiency in customer service with a focus on providing solutions and assistance
  • Effective communication skills, both verbal and written
  • Organizational skills and attention to detail
  • Proficiency in basic computer applications, such as Microsoft Office and scheduling tools
  • Prior experience in a receptionist or customer-facing role is a plus
  • A genuine interest in music and education is highly preferred
Key Duties & Responsibilities

1. Front Office & Customer Handling

  • Attend and manage all incoming calls professionally and respond to inquiries.
  • Greet and welcome visitors with a positive attitude and proper etiquette.
  • Guide students, parents, and visitors according to their requirements.
  • Provide accurate information about courses, services, and schedules.

2. Administrative Support

  • Maintain important documents, files, and records in an organized manner.
  • Ensure all office stationery is stocked and place orders when required.
  • Handle petty cash responsibly with proper documentation.
  • Maintain records of fee collection and issue receipts.

3. Communication & Coordination

  • Coordinate with internal staff (teachers, management) and external contacts.
  • Relay messages and handle customer/visitor concerns effectively.
  • Assist in liaising with supporting institutes for information gathering.

4. Class & Academic Coordination

  • Schedule and reschedule music classes in coordination with teachers.
  • Coordinate regular and online classes efficiently.
  • Assist in organizing and managing exams.

5. Customer Service & Brand Representation

  • Deliver high-quality customer service at all times.
  • Handle feedback and complaints professionally and escalate when necessary.
  • Promote and build awareness of the institution's brand among clients.

6. Facility & Operations Management

  • Ensure cleanliness and proper upkeep of the institution.
  • Act as custodian of library materials and textbooks.
  • Monitor safety procedures and report any unsafe situations.

7. Training & Meetings

  • Attend meetings and training sessions as required by management.
