About The Opportunity

We are hiring an on-site Front Desk Executive to be the professional face of an active corporate office in India. This role requires a service-first attitude, strong administrative discipline, and the ability to manage visitor flow, incoming communications, and basic office transactions while maintaining a secure, welcoming environment for employees and guests.

Role & Responsibilities

  • Serve as the first point of contact for visitors and callers; manage reception area and present a professional office image.
  • Operate switchboard and handle inbound/outbound calls, routing enquiries and taking accurate messages.
  • Manage visitor registration using a Visitor Management System and maintain visitor logs, identity verification, and access badges.
  • Coordinate appointment scheduling, conference room bookings, and calendar management for on-site teams and guests.
  • Perform basic administrative tasks: mail handling, document scanning, petty cash management, and invoice/receipt processing.
  • Collaborate with security and facilities teams to ensure compliance with safety protocols and smooth day-to-day operations.

Skills & Qualifications

Must-Have

  • Previous front-desk or receptionist experience in a corporate or hospitality environment
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and calendar management
  • Experience with Visitor Management Systems and switchboard operation
  • Strong telephone etiquette and appointment scheduling skills
  • Basic cash handling and invoicing experience
  • Fluency in English and at least one regional language (Hindi preferred)

Preferred

  • Familiarity with CRM or helpdesk tools (e.g., Zoho, Salesforce Service Console)
  • Diploma or certification in Office Administration or Hospitality
  • Knowledge of workplace safety and visitor access protocols
