Role Objective:
A key objective of this position is to ensure efficient, cost-effective, and compliant procurement of materials and services by managing the end-to-end purchase process, vendor relationships, and contract administration while maintaining adherence to quality, regulatory, and organizational standards.
Desired Candidate Profile:
- Bachelor's degree in Commerce, Science, Engineering, or Supply Chain Management.
- 1 to 3 years of relevant experience in procurement, preferably in pharmaceutical, medical device, or regulated manufacturing industries.
- Working knowledge of procurement systems such as SAP ERP.
- Strong understanding of sourcing, vendor negotiation, and contract management.
- Familiarity with regulatory and quality standards applicable to the medical device or healthcare sector.
- Good analytical, documentation, and communication skills.
Role & Responsibilities:
1. PR to PO Execution
- Process Purchase Requisitions (PR) to Purchase Orders (PO) in SAP within defined timelines for contracted materials across multiple locations.
- Ensure accurate documentation and tracking of PO to Goods Receipt Note (GRN).
- Float Requests for Quotations (RFQs) for non-contracted materials, obtain quotations, prepare Comparative Statements (CS), and conduct commercial negotiations.
2. PR/PO Monitoring & MIS
- Monitor open PRs and POs on a weekly basis and coordinate with concerned departments to close pending requirements.
- Prepare and submit Management Information System (MIS) reports to the Head of Department.
- Float inquiries related to new product development and alternate vendor sourcing.
3. Procurement of Technical & Regulated Materials
- Manage procurement of production tooling, consumables, medical-grade chemicals, engineering items, laboratory materials, maintenance spares, and validation-related materials.
- Ensure all procured materials comply with applicable regulatory and quality standards.
4. Cost Optimization & Savings Reporting
- Identify cost-saving opportunities through vendor negotiations and alternate sourcing strategies.
- Prepare and present monthly savings reports.
5. Vendor Management & QMS Compliance
- Support supplier onboarding, qualification, and performance evaluation processes.
- Monitor vendor performance in line with Quality Management System (QMS) requirements.
- Maintain supplier documentation, credentials, and audit records.
6. Invoice Processing & Reconciliation
- Submit supplier invoices to the Accounts department for timely processing and payment.
- Conduct quarterly supplier reconciliation and resolve discrepancies.
7. Contract Management
- Prepare, review, and manage service contracts related to laboratory chemicals, calibration, validation, maintenance, housekeeping, electrical services, and consumables.
- Ensure contracts meet internal compliance and regulatory requirements.
8. Commercial & Operational Orders
- Release and manage procurement orders related to marketing, trading, operational, and other business requirements.
9. Advance Payment & Financial Tracking
- Monitor advance payments and ensure timely closure as per finance records and company policies.
10. Logistics Coordination
- Plan transportation for material pickup and coordinate with internal stakeholders for timely dispatch.
- Generate E-Way Bills and ensure compliance with statutory and transportation regulations.
