About The Job:
- We are seeking a highly capable Executive Assistant to provide strategic and operational support to two Vice Presidents of Human Resources in the APAC region, based in India and Singapore.
- This role requires exceptional judgment, proactive problem‐solving, and the ability to seamlessly manage complex calendars, cross‐border coordination, and sensitive HR‐related matters. The Executive Assistant will act as a trusted partner to HR leadership, enabling them to focus on organizational impact, talent strategy, and business priorities across APAC.
Essential Job Functions:
Executive & Calendar Management
- Manage complex, high‐volume calendars across multiple time zones (India, Singapore, APAC, and global), proactively resolving conflicts and anticipating needs.
- Coordinate leadership meetings, HR forums, talent reviews, and regional touchpoints, ensuring agendas, materials, and logistics are prepared in advance.
- Serve as a prioritization partner, helping leaders focus time on the most critical people and business priorities.
- Strategic & Administrative Support
- Draft and prepare professional correspondence, presentations, briefing materials, and reports on behalf of HR leaders.
- Review outgoing communication for accuracy, completeness, approvals, and adherence to executive and HR protocols.
- Support short‐term prioritization and day‐to‐day operational decision‐making for the leaders.
- Travel, Expenses & Logistics
- Arrange domestic and international travel for APAC and global engagements in accordance with company policy, including visa and documentation coordination.
- Manage expense reporting and corporate credit card reconciliations accurately and on time.
- Support logistics for executive visits, leadership offsites, and key APAC HR events.
Cross‐Functional & HR Coordination
- Partner closely with HRBPs, Talent, People Operations, Finance, IT, and Workplace teams to ensure smooth execution of HR priorities.
- Assist with onboarding and setup activities for new HR leaders or team members, including systems, tools, and access.
- Handle sensitive and confidential HR information with the highest degree of discretion and professionalism.
Operational Excellence & Continuous Improvement
- Identify inefficiencies or recurring challenges and proactively recommend or implement solutions.
- Leverage digital tools and AI‐enabled solutions to streamline workflows, improve coordination, and enhance productivity.
- Continuously raise the bar on quality, responsiveness, and executive experience.
Qualifications:
- Significant experience (typically 7+ years) supporting senior executives at Dir/VP or above, preferably in a regional or global role.
- Proven ability to manage complex, fast‐changing calendars and priorities across geographies and time zones.
- Exceptional organizational, communication, and stakeholder‐management skills.
- High degree of judgment, discretion, and comfort handling sensitive HR and people‐related matters.
- Demonstrated ability to work independently, anticipate needs, and take full ownership of responsibilities.
- Strong proficiency with productivity tools (Outlook, Teams, PowerPoint, document collaboration tools); comfort leveraging AI or automation to improve efficiency.
